Responsibilities

  • Provide frontline support for People systems (Workday, Brightspace, SharePoint, and related tools).
  • Triage, escalate, and coordinate incoming system requests and tickets.
  • Manage user access and security administration; conduct access reviews and documentation.
  • Create and maintain SOPs, FAQs, and training guides; educate users on system updates.
  • Assist with testing, audits, and data quality; support improvement projects.

POSITION: People Systems Support Specialist (Part-Time)DEPARTMENT: People OperationsLOCATION: Phoenix Home Office / Local Hybrid; primarily remote with some in-person presenceREPORTS TO: Director of People OperationsFLSA STATUS: Non-Exempt, (Hourly) part-timePosition SummaryThe People Systems Support Specialist provides front-line functional and technical support for Great Hearts’ People systems, including Workday, Brightspace, SharePoint, and related tools. The role serves as an initial point of contact for systems requests, resolves routine issues, supports access administration, testing, audits, documentation, and data quality, and escalates complex or high-risk matters to the appropriate systems owner.Duties & ResponsibilitiesSystems Support & Ticket CoordinationMonitor, triage, escalate, resolve, and coordinate incoming People Systems requests and support tickets.Provide frontline guidance for common system questions and escalate complex issues appropriately.Identify recurring issues, documentation gaps, and service improvement opportunities.User Access & Security SupportPerform routine account maintenance, user access, and security administration.Receive, document, and triage access or security-related requestsSupport access reviews, audits, and approval documentation.Handle confidential information carefully and escalate sensitive or high-risk concerns.Documentation & User EducationCreate and maintain SOPs, job aids, FAQs, training guides, and other systems documentation.Support clear user education and communications for system updates, changes, and recurring needs.Document troubleshooting steps and resolutions for team reuse.Testing, Auditing & Operational SupportSupport testing, audits, reporting, and routine system maintenance.Assist with improvement projects and assigned operational work, including data entry.Participate in team meetings, training, and continuous learning.Perform additional duties and projects as assigned.Qualifications, Competencies & StrengthsEducationAssociate degree or equivalent education and relevant experience required. Bachelor’s degree in human resources, business, information systems, or a related field preferred.ExperienceOne or more years of experience in administrative support, operations, customer service, technical support, human resources, data quality, or a related field preferred. Workday experience helpful but not required.Special SkillsStrong communication, documentation, and attention to detail.Technical curiosity and ability to learn systems quickly.Excellent customer-service mindset and ability to explain information clearly.Professional, positive presence and sound judgment in handling sensitive data and communications.Ability to follow procedures, manage priorities, solve problems, and escalate appropriately.Proficiency with Microsoft Office, SharePoint, and Teams.Interest in HRIS, Workday, systems administration, or enterprise application support.Additional RequirementsType of fingerprint clearance: Must possess or obtain a valid Arizona Department of Public Safety IVP Level 1 fingerprint clearance card.Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching.
