Qualifications

Responsibilities

  • Coordinate the People Operations intake and shared services.
  • Receive, categorize, route, and track requests using established workflows and areas of responsibility.

  • Receive the formal new-hire handoff from Talent Acquisition and initiate onboarding workflows.
  • Coordinate new-hire paperwork, documentation, orientation scheduling, onboarding logistics, and internal handoffs.
  • Support Form I-9 completion, tracking, recordkeeping, and related compliance processes.
  • Coordinate background screening documentation and other pre-employment requirements.
  • Prepare routine People Operations correspondence and employee documentation using approved templates.
  • Coordinate documentation for employee changes and ensure routing to Payroll & Benefits or other teams.
  • Coordinate offboarding administration and related workflow steps.

The People Operations Administrator serves as the administrative and workflow hub of Midway’s People Operations Team, helping ensure employee and manager requests, documentation, transactions, and lifecycle processes move efficiently from intake through completion.

This role supports the administrative infrastructure behind the employee lifecycle by coordinating People Operations workflows, maintaining employee records and systems, monitoring shared communication channels, and facilitating effective handoffs across Talent Acquisition, Regional People Operations, Payroll & Benefits, and People leadership.

For many employees and managers, the People Operations Administrator will be one of their first and most frequent connections with the People Operations Team. Success requires exceptional organization, accuracy, responsiveness, service, discretion, and the ability to recognize when a request should be routed or escalated to another member of the People Operations Team.

What You’ll Do

Coordinate People Operations Intake & Shared Services

Coordinate the People Operations shared communication channels and serve as a central administrative point of intake for employee and manager requests.

Receive, categorize, route, and track People Operations requests to the appropriate team member based on established workflows and areas of responsibility.

Monitor assigned requests and administrative workflows to help ensure timely follow-up, appropriate handoffs, and completion.

Respond directly to routine administrative inquiries within the scope of the role and route questions requiring specialized People Operations expertise.

Maintain appropriate shared visibility of People Operations requests, communications, documentation, and workflow status to support continuity across the team.

Help ensure People Operations work remains accessible and appropriately documented when team members are unavailable, responsibilities transition, or follow-up is required.

Support established service expectations and identify outstanding requests or administrative items requiring follow-up or escalation.

Coordinate Employee Lifecycle Administration

Coordinate administrative activities throughout the employee lifecycle, including new hires, onboarding, employee changes, transfers, promotions, organizational changes, and separations.

Receive the formal new-hire handoff from Talent Acquisition following completion of the established recruitment and pre-employment process and initiate the appropriate onboarding workflow.

Coordinate new-hire paperwork, required documentation, orientation scheduling, onboarding logistics, and internal administrative handoffs.

Support Form I-9 completion, tracking, recordkeeping, and related compliance processes in accordance with established procedures.

Coordinate background screening documentation and other assigned pre-employment administrative requirements in partnership with Talent Acquisition.

Support the preparation of routine People Operations correspondence, employment letters, forms, and employee documentation using approved templates and processes as needed.

Coordinate documentation and administrative workflows associated with approved employee changes, including promotions, transfers, compensation changes, status changes, and organizational changes.

Ensure approved employee changes are appropriately documented and routed to Payroll & Benefits or other responsible team members for downstream processing.

Coordinate offboarding administration, including required documentation, system notifications, internal handoffs, and separation-related workflow steps.

Track required employee forms, acknowledgments, approvals, and documentation through completion.

Maintain People Systems, Records & Documentation

Maintain accurate and current employee information within the HRIS and other People Operations systems within assigned areas of responsibility.

Process approved employee transactions accurately and timely in accordance with established workflows and authorization requirements.

Maintain organized, complete, and appropriately secured personnel files and People Operations records.

Support the transition to and ongoing maintenance of electronic employee records and document-management practices.

Conduct routine audits of employee records, system information, required documentation, and employee lifecycle transactions.

Identify missing, incomplete, or inconsistent employee information and coordinate appropriate follow-up.

Support employment verifications and other routine employee-record requests in accordance with established procedures.

Assist with People Operations reporting, data collection, audits, tracking, and recurring administrative reporting requirements.

Maintain appropriate confidentiality, access controls, and security of employee information and People Operations records.

Support Effective People Operations Handoffs

Partner closely with the Regional People Operations Generalist, Talent Acquisition Specialist, Payroll & Benefits Specialist, and VP, People to support coordinated employee lifecycle processes.

Maintain ownership of assigned administrative workflows while ensuring appropriate team members have visibility into status, documentation, outstanding actions, and completed handoffs.

Coordinate administrative handoffs between recruitment, onboarding, employee changes, payroll and benefits, employee support, and offboarding.

Follow up on incomplete information or outstanding actions that may delay People Operations processes.

Support cross-functional coverage and workflow continuity within appropriate role responsibilities and system access.

Escalate sensitive, complex, unusual, or higher-risk employee matters to the appropriate Generalist or VP, People rather than independently interpreting policy or making People-related decisions.

Help prevent requests, transactions, and employee matters from becoming delayed or lost between functional areas.

Strengthen People Operations Processes

Maintain People Operations templates, forms, standard operating procedures, trackers, calendars, shared resources, and workflow documentation.

Help ensure established People Operations processes and administrative standards are consistently followed across the organization.

Identify administrative processes that can be simplified, standardized, automated, or better coordinated.

Support implementation and adoption of new People Operations systems, technology, workflows, and processes.

Assist with testing, documentation, data preparation, and administrative implementation associated with new People technology.

Support employee training, engagement, recognition, communication, and People Operations events as assigned.

Provide administrative and coordination support for enterprise-wide People Operations initiatives, audits, projects, and priorities.

Partner with the People Operations Team to continuously improve service delivery and the employee and manager experience.

What You’ll Bring

3+ years of Human Resources, People Operations, HR coordination, or relevant administrative experience.

Demonstrated experience coordinating multiple administrative processes, requests, or workflows simultaneously.

Associate or bachelor’s degree in Human Resources, Business Administration, or a related discipline.

Healthcare or other regulated-industry experience.

The Administrator helps create the shared visibility and administrative continuity necessary for the broader team to focus on employee relations, manager partnership, recruiting, payroll and benefits, organizational effectiveness, and other higher-level priorities.
