Job summary

Bluevine is seeking a detail-oriented People Coordinator & Office Operations Associate for Jersey City. This part-time role is onsite 3 days a week, with hours 8:00 AM–4:00 PM on Tuesdays and Wednesdays and a flexible third day.

You will support facilities, workplace experience, HR onboarding, and admin tasks to ensure a welcoming, efficient office environment while partnering with the People team.

Qualifications

  • 1–2 years of experience in HR, administrative, or workplace coordination preferred.
  • Course work in Human Resources a plus.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and customer service skills.
  • Professional, polished presence with a strong service mindset.
  • Comfortable working in a hybrid workplace with at least two days on-site.

Responsibilities

  • Serve as on-site point of contact for facilities and office upkeep.
  • Coordinate with vendors and manage on-site meals and space planning.
  • Welcome and orient new hires during HR onboarding and complete I‑9 documentation.
  • Handle routine HR and policy questions and lead bi-annual employee volunteering.
  • Provide conference room coordination, mail handling, and confidential document management.

About the Role

We are looking for a detail-oriented and service driven People Coordinator & Office Operations Associate to support our Jersey City office. This role plays a critical part in delivering a seamless and engaging workplace experience while supporting a wide range of administrative and facilities-related needs. Reporting to the local People team and partnering cross-functionally, this role is ideal for someone who enjoys being the go-to person, thrives on keeping things organized, and takes pride in making the workplace run smoothly.

This is a part-time role working 3 days per week onsite in Jersey City. Hours are 8:00 AM – 4:00 PM on Tuesdays and Wednesdays, with flexibility on the third working day.

What You'll Do
Facilities Support
  • Act as the on-site point of contact for general office upkeep and coordination of day-to-day facilities needs.
  • Order snacks and beverages for the office and for on-site events.
  • Coordinate with ZeroCater vendor to manage weekly in-office meals, including adjusting headcount as necessary.
  • Help ensure the physical office space is welcoming, functional, and aligned with our workplace experience standards.
Workplace Experience
  • Curate and manage an engaging, inclusive, and productive office environment that supports employee well‑being and collaboration.
  • Lead initiatives that enhance the in‑office experience, including space planning, onsite events, and amenities that align with company culture and values.
HR Coordination
  • Manage end‑to‑end visitor coordination, including monitoring the system for upcoming visitor arrivals, sending visitor guides, registering guests with the building, and issuing access cards.
  • Welcome and orient new hires during local HR onboarding sessions including completing their I‑9 documentations.
  • Respond to routine employee HR and policy questions.
  • Lead the coordination of bi‑annual employee volunteering initiatives.
Administrative Support
  • Provide administrative support in the reservation and preparation of conference rooms for internal and external guests.
  • Process incoming and outgoing mail, including sorting, distributing, scanning, and filing documents appropriately.
  • Scan, upload, and maintain electronic records of mailed correspondence and documentation in company systems.
  • Coordinate mail handling and shipping activities with internal teams and external vendors or carriers.
  • Ensure timely routing of sensitive or confidential mail to appropriate recipients while maintaining confidentiality standards.
Additional Duties as Assigned
  • Perform additional administrative and operational duties as assigned to support team and business needs.

  • 1–2 years of experience in an HR, administrative, or workplace coordination role preferred
  • Course work in Human Resources a plus

  • Comfortable serving as a welcoming and helpful face of the company for employees, candidates, vendors, and guests
  • Comfortable working in a hybrid workplace with a minimum of two days on‑site and managing physical workspace needs
  • Proficient with basic office software such as g‑suite (gmail, calendar, drive, docs)
  • Demonstrated ability to handle confidential information with professionalism

New Hire Hourly Rate Range:

$25.87 - $31.06 USD
