Job summary

Davies Institute for Speech & Hearing in Katy, TX is seeking a Clinic Manager to oversee all operational aspects of our multidisciplinary pediatric clinic. You will lead scheduling, staffing, compliance, and data-driven improvements to ensure high-quality patient care.

Qualifications

  • Bachelor’s degree in Healthcare Administration, Business, or related field.
  • 3+ years of clinic, medical office, or therapy practice management experience.
  • Strong EMR, billing workflows, and scheduling tools understanding.
  • Proficient in Excel/ Google Sheets and data analysis (pivot tables, charts).
  • Excellent time management, communication, and organizational skills.
  • Proven leadership experience managing staff or departments.

Responsibilities

  • Direct and coordinate daily operations across all therapy departments: Speech, Audiology, OT, and development center.
  • Maintain clear clinic workflows, troubleshoot bottlenecks, and ensure appointments run on time.
  • Manage physical space, supply ordering, maintenance needs, and vendor relations.
  • Ensure HIPAA, OSHA, and clinical compliance standards are met across departments.
  • Provide direct supervision to front desk staff, administrative assistants, and clinic aides.
  • Support Clinical Leads and therapy staff with scheduling, documentation tracking, and productivity.
  • Lead weekly operations meetings and contribute to leadership huddles.
  • Drive a positive, solutions-oriented workplace culture with high expectations and strong support.
  • Optimize therapist schedules for productivity, caseload balance, and availability.
  • Coordinate cross-department scheduling for evaluations and interdisciplinary services.
  • Monitor patient flow and maximize clinician utilization based on data and demand.
  • Track, report, and interpret core KPIs including: Therapist productivity, Patient attendance, Caseload capacity, Monthly revenue.
  • Identify performance trends, propose action plans, and implement improvements with leadership.
  • Serve as a point of contact for escalated parent or caregiver concerns.
  • Work closely with intake and billing to ensure timely communication and follow-up.
  • Monitor satisfaction and retention through surveys and feedback.
  • Collaborate on family engagement strategies, education events, and resources.
  • Assist and support onboarding for all new hires.
  • Maintain training resources and checklists to ensure quality onboarding.
  • Support cross-training, mentorship, and leadership development across the team.

Davies Institute for Speech and Hearing (DISH) is looking for a Clinic Manager who is organized, analytical, compassionate, and unafraid to take charge. This is a key leadership role in our growing clinic — perfect for someone who loves building efficient systems, developing and supporting people as leaders, and using data to move the needle on patient care and clinic success.

We are a private pediatric clinic offering Speech Therapy, Audiology, and Occupational Therapy services from birth through adolescence, along with an early intervention preschool for children who are deaf or hard of hearing. Our team is small but mighty — and we’re looking for someone just as dedicated to our mission as we are.

Position Overview

As the Clinic Manager, you will oversee all operational aspects of our multidisciplinary clinic. You’ll work closely with the Programs Director to ensure that our patients receive high-quality care, our team stays supported, and our operations run smoothly and efficiently. This role demands a data-driven mindset, a servant leadership style, and the ability to juggle people, processes, and performance — all while staying mission-focused and family-friendly.

Major Responsibilities
Clinic Operations Management:
  • Direct and coordinate daily operations across all therapy departments: Speech, Audiology, OT, and development center.
  • Maintain clear clinic workflows, troubleshoot bottlenecks, and ensure appointments run on time.
  • Manage physical space, supply ordering, maintenance needs, and vendor relations.

Team Leadership & Supervision

Scheduling & Capacity Planning
  • Optimize therapist schedules for productivity, caseload balance, and availability.
  • Coordinate cross-department scheduling for evaluations and interdisciplinary services.
  • Monitor patient flow and maximize clinician utilization based on data and demand.
KPI Tracking & Performance Management
Track, report, and interpret core KPIs including:
  • Therapist productivity (billable hours).
  • Patient attendance and cancellations.
  • Caseload capacity and referral conversions.
  • Monthly revenue and visit counts per service line.
  • Identify performance trends, propose action plans, and implement improvements with leadership.
Client Experience & Communication
  • Serve as a point of contact for escalated parent or caregiver concerns.
  • Work closely with the intake and billing team to ensure timely communication and follow-up.
  • Monitor satisfaction and retention through surveys and direct feedback.
  • Collaborate on family engagement strategies, education events, and resources.
Staff Hiring, Training & Onboarding
  • Assist and support onboarding for all new hires.
  • Maintain training resources and checklists to ensure quality onboarding.
  • Support cross-training, mentorship, and leadership development across the team.
