Based in Garfield Heights, Ohio, our state-of-the-art facility offers Day Treatment (PHP), Intensive Outpatient (IOP), and community-based programs that provide a compassionate, structured, and supportive environment.
We are hiring a Receptionist / Business Office Manager to serve as the welcoming face of our clinic and the organizational engine behind the scenes. This role blends front desk hospitality with administrative precision to ensure smooth daily operations in a fast-paced pediatric behavioral health setting.
·Greet clients, families, staff, and visitors with professionalism and warmth
·Answer incoming calls, route messages, and respond to general inquiries
·Schedule and confirm appointments for clinicians and providers
·Assist families with intake paperwork, insurance documentation, and consent forms
·Maintain confidentiality and uphold HIPAA standards at all times
·Create a welcoming and kid-friendly environment in the waiting area
·Maintain up-to-date records of client files, both digital and physical
·Monitor insurance authorizations and eligibility checks
·Track daily attendance for PHP/IOP groups and staff documentation needs
·Support team with data entry, document prep, and internal communications
·Assist with HR onboarding paperwork, compliance logs, and credentialing documents
·Order and organize office and clinic supplies
·Coordinate facility maintenance and vendor service visits
·Assist with petty cash tracking, invoice submissions, and basic bookkeeping
·Ensure front office workflows and policies are followed consistently
·Support the preparation of audit-ready documentation and reports
·High School Diploma or GED required; Associate’s or Bachelor’s degree preferred
·1–2 years in a receptionist, administrative, or office management role (healthcare setting preferred)
·Warm, professional, and family-friendly communication style
·Excellent organization and multitasking skills
·Proficiency with Microsoft Office (Word, Excel, Outlook) and scheduling systems
·Comfortable handling confidential and sensitive information
·Experience working in environments that serve children or families
·Bilingual (English/Spanish) a plus, but not required
