KEY RESPONSIBILITIES
The Payroll Tax Analyst supports the day-to-day administration and processing of payroll tax activities across federal, state, and local tax jurisdictions. This role serves as a key contributor of the Payroll Tax team by auditing employee tax records, processing tax adjustments and amendments, researching routine tax inquiries, and ensuring the accuracy of payroll tax data. The analyst is responsible for handling high-volume transactional work, resolving routine payroll tax issues, and identifying discrepancies before they become compliance risks. The Payroll Tax Analyst partners with Payroll, Human Resources, Finance, Tax, UKG, external agencies, and internal and external employees to support accurate and timely payroll tax administration.
Payroll Tax Processing & Administration
- Process payroll tax adjustments, amendments and corrections in accordance with established procedures.
- Review, audit, and maintain employee tax setup records to ensure accurate withholding and reporting.
- Perform regular audits of employee tax records, jurisdiction assignments, and reciprocal agreement setups.
- Monitor payroll tax inboxes and case queues to ensure timely resolution of routine requests.
- Research and respond to employee and business inquiries regarding payroll tax withholding, work locations, local taxes, and tax forms.
- Escalate complex compliance or legal issues to payroll tax leadership as appropriate.
- Maintain documentation supporting payroll tax transactions and corrections.
Multi-State Payroll Tax Support
- Support employee tax setup and maintenance for multi-state and remote work situations.
- Research routine state and local withholding requirements using established resources and procedures

- Prepare recurring reports and reconciliations for the payroll tax team.
- Maintain payroll tax procedures, job aids, process documentation, and knowledge articles.
- Assist with data gathering for audits, compliance reviews, and special projects.
- Support reporting related to tax adjustments/amendments and operational metrics.
Process improvement and team support
- Identify opportunities to improve efficiency, accuracy, and standardization of payroll tax processes.
- Assist with testing payroll tax system changes and updates.
- Support special projects and departmental/team initiatives as assigned.
- Cross-train with other payroll tax team members to ensure business continuity.
- 1+ year(s) of experience in payroll, tax, accounting, finance, or related operational role.
- Experience processing high-volume transactions while maintaining accuracy and attention to detail.
- Experience with multi-location payroll and taxes
- Knowledge of UKG is preferred
- Proficiency in Microsoft Excel
- Strong customer service experience supporting employees or internal stakeholders.
PERFORMANCE/TANGIBLE RESULTS
- Independently resolve routine payroll tax inquiries and processing requests from intake through completion.
- Process approximately 30-40% of payroll tax adjustments, amendments, and employee tax corrections received by the Payroll Tax team.
- Meet established service level expectations for assigned cases and inbox items.
- Maintain high accuracy rates in employee tax setup and tax-related processing activities.
- Complete recurring audits and reconciliations timely and identify discrepancies requiring correction.
- Maintain organized documentation supporting payroll tax transactions and compliance activities.
- Communicate proactively regarding aging items, unresolved issues, and workload concerns.
- Contribute to reducing escalations through accurate and timely first-level issue resolution.
