Job summary

  • Prepare payroll reports for Directors and accounts staff.
  • Report W-2 information and year-end payroll data.
  • Maintain payroll files and respond to inquiries.

Payroll Supervisor

Reports to: Director of Business

PERFORMANCE RESPONSIBILITIES:
Lead Payroll Responsibilities:
  • Supervise payroll personnel and oversee the entire payroll function.
  • Responsible for the training of new employees in the payroll department.
  • Evaluate payroll personnel annually.
  • Assist the Chief Financial Officer and Director of Business in the interviewing and hiring of payroll personnel.
Employee Records:
  • Record all absences, hours worked, additional addendums, docks, etc.
  • Update all employee deductions for annuities, insurance, direct deposit, W-4, WH-4, etc.
  • Total and balance employee wages on timecards.
  • Update sick days, personal absence and vacation days.
  • Input all information from timesheets and software programs into the payroll system.
  • Update salary schedule changes and account numbers.
  • Update degree level, pay schedule, etc.
  • Issue electronic wage agreements and contracts as needed.
  • Issue W-2 to all employees.
  • Correct all county code changes before first payroll of each year.
  • File timesheets, docks, exceptions, etc. into employee files.
  • Update all annuities, insurance information, Section 125 participation, retirement deductions with each contract year.
  • Maintain all employee hard-copy and software payroll files.
  • Answer all payroll inquiries.
  • Review and approve new hire documentation in Red Rover and print forms for payroll files.
Checks:
  • Run calculations and check all wages, exceptions, absences for accuracy.
  • Run payroll.
  • Transmit federal and state taxes.
  • Send direct deposit file to bank.
  • Mail checks as needed.
Reports:
  • Payroll report to Director of Business each payroll.
  • Balance & process semi-monthly and monthly payments from clearing accounts.
  • End of month reports to Accounting Supervisor.
  • Report to Teachers Retirement Fund and PERF.
  • Submit quarterly report to IDETS for total wages earned.
  • Submit Form 941 for Internal Revenue Service.
  • Report any contract changes to the Board and TRET.
  • Report to Section 125 administration, eligible employees at beginning of year.
  • File and report all W-2 information.
  • Maintain and provide a monthly report of active employees by employee group.
  • Pull reports and documents for audit.
Other:
  • Research information for the Chief Financial Officer or Director of Business.
  • Perform other duties as assigned by the Chief Financial Officer or Director of Business.
