We are seeking an experienced Payroll Specialist to support payroll operations across multiple locations. This position will be responsible for accurately processing payroll and related employee transactions, responding to payroll inquiries, maintaining employee records, and supporting timekeeping, benefits, and compliance activities.
The ideal candidate is detail-oriented, highly organized, and comfortable working with sensitive employee information in a fast-paced environment.
Key Responsibilities
- Process payroll and employee-related payments accurately and on schedule, including regular payroll, expense reimbursements, bonuses, and other special payments.
- Review timekeeping and attendance information and ensure payroll data is accurate prior to processing.
- Respond to employee questions regarding pay, deductions, taxes, timekeeping, leave, direct deposit, address changes, and payroll systems.
- Research and resolve payroll discrepancies and employee issues in a timely and professional manner.
- Process payroll adjustments, off-cycle payments, voids, reversals, and other corrections as needed.
- Assist with year-end payroll activities, including tax reporting and corrections to employee tax documents.
- Maintain accurate employee records, including personal information, employment status, job information, and other payroll-related data.
- Prepare payroll-related invoices and documentation for third-party providers.
- Support benefits-related processes and employee wellness initiatives as needed.
- Assist with leave administration and maintenance of related systems and records.
- Prepare reports and perform data analysis related to payroll and employee information.
- Manage and support the organization's timekeeping system, including assisting with employee training and ensuring proper procedures are followed.
- Identify opportunities to improve payroll processes, increase efficiency, and enhance accuracy.
- Maintain confidentiality and security when handling employee and payroll information.
- Perform additional duties and special projects as assigned.
Required Qualifications
Education
- Bachelor's degree in Human Resources, Business, Accounting, or a related field preferred; equivalent relevant experience may be considered.
Experience
- 1–4 years of payroll experience, preferably supporting employees across multiple locations or states.
- Experience working with a computerized payroll or HRIS platform.
- Experience with UKG payroll is preferred.
- Working knowledge of U.S. payroll practices, including new hires, wage payments, leave, garnishments, deductions, and payroll reporting requirements.
- Familiarity with multi-state and local payroll taxes, including applicable reciprocity requirements.
Technical Skills
- Proficiency with Microsoft Office, particularly Excel.
- Strong Excel capabilities, including PivotTables, VLOOKUP/XLOOKUP, data analysis, auditing, and basic forecasting.
- Ability to learn and effectively utilize payroll, HRIS, and timekeeping systems.
