Job summary

Randa Apparel & Accessories is seeking a Payroll Specialist to join our hybrid team in the Dallas area. The role supports payroll for multiple entities and states, processing hourly and salaried employees with diverse pay schedules and country-specific requirements.

The ideal candidate will have hands-on ADP Workforce Now experience, strong reconciliation skills, and a customer-service mindset to resolve payroll questions promptly and confidentially.

Responsibilities

  • Process assigned payrolls end-to-end in ADP Workforce Now across multiple entities and locations.
  • Support payrolls for hourly and salaried employees in corporate, distribution center, and retail environments.
  • Perform pre- and post-processing reviews, reconcile payroll registers, and resolve errors.
  • Process off-cycle and manual payments with proper approvals and controls.
  • Research and resolve employee payroll questions promptly and confidentially.
  • Apply federal, state, and local payroll requirements and monitor related taxes.
  • Assist with onboarding acquired businesses and employee groups.
  • Prepare payroll reports, reconciliations, and audit support; document reviews.
  • Document payroll procedures and participate in cross-training for coverage.
  • Identify opportunities to simplify or automate payroll activities while maintaining controls.
  • Collaborate with HR, Finance, Treasury, and external vendors.

Position Overview

The Payroll Administrator is a hands-on member of the payroll team responsible for accurate, timely, and well-controlled payroll processing across multiple legal entities and U.S. states, and Canada. The role supports hourly and salaried employees working in corporate, distribution centers, and retail environments with different pay schedules, timekeeping practices, and state or country-specific requirements. This position must provide high-quality customer service to both internal and external groups related to inquiries and resolution of payroll errors or changes.

Schedule : Hybrid (3 days in-office / 2 days remote)

What success looks like :A dependable payroll professional who can own assigned payrolls, spot exceptions before they become errors, communicate clearly with employees and partners, document processes, and grow into broader payroll responsibility and backup coverage.

  • Process assigned payrolls from start to finish in ADP Workforce Now, including reviewing time and attendance data, earnings, deductions, taxes, benefit deductions, paid time off, bonuses, commissions or incentives, and other payroll inputs.
  • Support payrolls for multiple companies, employee populations, work locations, and pay schedules, including hourly and salaried employees in corporate, distribution center, and retail operations.
  • Perform detailed pre-processing and post-processing reviews, reconcile payroll registers and funding reports, investigate unusual results, and resolve errors before payroll is finalized.
  • Process off-cycle and manual payments when required, including time-sensitive final pay, while following approval, documentation, and duplicate-payment controls.
  • Research and resolve employee payroll questions promptly, professionally, and confidentially. Explain outcomes in plain language and elevate complex matters when appropriate.
  • Apply federal, state, and local payroll requirements to day-to-day processing. Monitor issues involving state and local taxes, wage and hour rules, paid leave, garnishments, and final-pay timing, escalating questions when needed.
  • Support payroll tax account setup, notices, registrations, and agency correspondence in partnership with payroll leadership, Human Resources, and external service providers.
  • Assist with onboarding acquired businesses and employee groups, including payroll calendars, employee data validation, company and tax setup, timekeeping interfaces, parallel testing, reconciliations, and transition support.
  • Prepare recurring and ad hoc payroll reports, reconciliations, and audit support. Maintain clear evidence of review and protect confidential payroll information.
  • Document payroll procedures, calendars, controls, and backup instructions. Participate in cross-training so critical payrolls and tasks have reliable coverage.
  • Identify opportunities to simplify, standardize, or automate payroll activities while maintaining strong controls and service quality.
  • Partner effectively with Human Resources, Finance, Treasury, Operations, ADP, and other vendors.
  • Perform other payroll-related duties and special projects as assigned.
Required Qualifications
  • At least 3 years of hands-on payroll processing experience, or an equivalent combination of relevant education and experience.
  • Experience processing payroll in ADP Workforce Now or another large payroll platform. Direct ADP Workforce Now experience is strongly preferred.
  • Working knowledge of multi-state payroll requirements and experience supporting more than one company, employee group, location, or pay schedule.
  • Experience with both hourly and salaried payroll, including time and attendance data, deductions, taxes, paid time off, and payroll adjustments.
  • Strong reconciliation and problem‑solving skills, with careful attention to detail and the ability to recognize results that do not look reasonable.
  • Proficiency in Microsoft Excel, including sorting, filtering, lookups, pivot tables, and comparing large data sets.
  • Ability to manage multiple deadlines in a calendar‑driven environment and maintain accuracy during high‑volume or abbreviated payroll cycles.
  • Strong service mindset, written and verbal communication skills, sound judgment, and discretion with confidential information.
Preferred Qualifications
  • Experience supporting retail, distribution, manufacturing, consumer products, or another business with varied schedules and employee populations.
  • Experience with payroll integrations, timekeeping systems, pay‑card or same‑day payment processes, acquisitions, company‑code changes, or payroll conversions.
  • Experience preparing payroll reconciliations, audit support, payroll tax research, or general‑ledger interface review.
  • Exposure to Canadian payroll is helpful but not required.
