Qualifications

• Experience in full-cycle payroll handling across multiple states.
• Billing experience with timekeeping-based invoicing and accuracy.
• Knowledge of accounts receivable processes and collections.
• Hands-on experience with QuickBooks is required.
• Associate degree is required; Bachelor’s degree preferred in Accounting/Finance or related field.

Responsibilities

• Process full-cycle payroll for employees across multiple states in a timely and accurate manner.
• Ensure compliance with federal, state, and local payroll regulations.
• Manage payroll deductions, taxes, garnishments, and benefits administration.
• Generate and manage client invoices, ensuring accurate billing based on timekeeping data.
• Monitor accounts receivable, follow up on outstanding balances, and resolve billing discrepancies.
• Reconcile payroll and billing records and assist with month-end close activities.
• Respond to employee and client inquiries regarding payroll and billing issues.
• Partner with HR and accounting teams to ensure data accuracy and process efficiency.
• Report to department supervisor timekeeping issues.
• Work directly with contractors to resolve weekly issues.
• Prepare reports to relevant departments about payroll, invoicing, and expense issues.
• Create invoices for customer using payroll registers.
• Communicate with customers directly in regards to invoices, payments, and other account items that arise.
• Other related duties as assigned.

• Minimum 3 years of billing experience
• Experience with accounts receivable and collections processes
• Hands‑on experience with QuickBooks (required)
• Associate’s degree required; Bachelor’s degree preferred (Accounting, Finance, or related field)
• Strong understanding of payroll regulations and compliance requirements
• High level of attention to detail and accuracy
• Strong Excel skills and overall technical proficiency
