Job summary

Nyman Associates, Inc. is seeking a Payroll Specialist to accurately process bi-weekly payroll for hourly and salary staff, ensuring compliance with federal, state, and local laws. The role requires handling deductions, benefits, and payroll tax calculations while maintaining strict confidentiality.

The ideal candidate has 2–4 years of payroll experience, familiarity with Workday, and strong organizational skills to support HR and Finance with reporting and record-keeping.

Qualifications

  • High school diploma or 2-year degree plus 2–4 years of payroll experience.
  • Experience with Workday is highly preferred.
  • DOJ/FBI Live Scan Background & TB Clearance required.
  • Knowledge of payroll calculations/taxes and journal entries.

Responsibilities

  • Prepare and process bi-weekly payroll accurately for hourly and salary employees.
  • Review time & attendance entries for proper recording and approvals.
  • Ensure compliance with federal, state, and local tax laws and deductions.
  • Process new hires, terminations, and status changes in the payroll system.
  • Prepare final checks for terminations (voluntary/involuntary).
  • Maintain and update payroll records including deductions and tax elections.
  • Assist employees with payroll inquiries and resolve discrepancies.

The Payroll Specialist willbe responsible forprocessing employee payroll accurately and on time, ensuring compliance with federal, state, and local regulations. The ideal candidate will have a strong understanding of payroll procedures, excellent communication skills, and the ability tomaintainconfidentiality in all payroll-related matters.

What You’ll Do
  • Preparing and processing of bi-weekly payrolltimelyand accurately for hourly and salary employees
  • Reviews all time & attendance entries to ensure that all hours have been properly and correctly recorded and that overtime and payroll exceptions if applicable, have been approved
  • Ensure compliance with applicable federal, state, and local tax laws, including deductions for benefits, taxes, and garnishments
  • Process new hires, terminations, and other employment status changes in the payroll system
  • Prepares final checks for voluntary and involuntary terminations
  • Maintain and update employee payroll records, including deductions, benefits, and tax elections.
  • Assistemployees with payroll inquiries and resolve any issues or discrepancies promptly
  • Manage W-2 process with 3rd party payroll company
  • Work with HR and Finance teams to ensureaccuraterecord-keeping and reporting.
  • Data entry and processing of mileage and commuting stipend calculations for expense reimbursement
  • Reconcile payroll-related accounts and prepare reports for management as needed.
  • Responds to Verification of Employment and EDD Requests
  • Stayup-to-datewith payroll legislation changes and apply them accordingly.
  • Complete other duties as assigned
What You’ll Need
  • High School Diploma, equivalent or two-year degree plus 2 – 4 years of payroll or equivalent combinations of training and experience
  • Experience with Workday is highly preferred
  • DOJ/FBI Live Scan Background & TB Clearance
  • In-depth knowledge and experience of payroll calculations/processing, payrolltaxesand accounting principles to include applicable journal entries
  • Experience with working with a 3rd party payroll provider
  • Strong mathematical skills
  • Ability to abide by ethical guidelines and policies, including strict adherence to confidentiality.
  • Working knowledge of standard business practices and procedures, including basic HR practices
  • Knowledge of Local, State and Federal employment laws and Human Resource policies and procedures
  • Superior customer service skills, strong analytical skills, excellent organizational skills, and a keen attention to detail
  • Computer-literate; knowledge of standard company software applications, internet
  • Effective interpersonal skills
  • Excellent organizational skills with ability to manage multiple tasks
  • Ability to problem-solve
  • Proficient written and verbal English language communication skills, including business writing and professional telephone manner
  • Proficient use of word-processing software and other computer applications
  • Reliability,dependabilityand flexibility
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
  • Occasional exposure to dust and fumes
  • Requires frequent reaching, handling, sitting, standing, walking, hearing, and talking
  • Requires up to 4 hours of sitting without breaks and up to 10 hours per day
  • Requires up to 4 hours of computer screen viewing without breaks and up to 10 hours per day
  • Requires use of keyboard and calculators daily and for prolonged periods of time
  • Occasional stooping/bending/crouching,carryingand lifting 20 or more lbs.
  • The noise intensity level is moderate
