Job summary

Maritime Paper Products LP, part of the Scotia Investments family, is seeking a detail-oriented Payroll Specialist to manage full-cycle payroll in our unionized manufacturing environment. You will ensure accurate processing, remittances, and reporting while upholding confidentiality and compliance with governing regulations.

The role requires 3–5 years of payroll experience, proficiency with ADP or Payworks, and strong analytical skills.

Qualifications

  • Minimum 3–5 years of payroll experience including full-cycle payroll.
  • Experience in a unionized environment with collective agreements.
  • Knowledge of Canadian payroll legislation, remittances, and compliance.
  • Advanced report writing and HRIS skills for payroll reporting.
  • Experience administering employee benefits programs.
  • Strong analytical, organizational, and communication skills.

Responsibilities

  • Process full-cycle weekly and bi-weekly payroll for hourly and salaried employees.
  • Review, reconcile, and validate timecards and attendance records.
  • Administer earnings, deductions, taxable benefits, and adjustments.
  • Prepare statutory remittances and ensure compliance with regulations.
  • Prepare annual payroll reporting (T4s and government filings).
  • Assist with payroll-related financial reporting and reconciliations.
  • Support administration of employee benefits and pension programs.
  • Interpret collective agreement provisions related to pay, premiums, overtime, and benefits.
  • Respond to payroll inquiries professionally and maintain confidentiality.
  • Identify opportunities to implement best practices and improve processes.
  • Assist with payroll audits and continuous improvement initiatives.

We are seeking a detail-oriented and experienced Payroll Specialist to join our team. This role is responsible for the accurate and timely administration of full-cycle payroll, ensuring compliance with applicable legislation, company policies, and 4 collective agreements. The Payroll Specialist will work closely with Human Resources, Finance, and Operations to support payroll, benefits administration, reporting requirements, and continuous process improvement initiatives. The Payroll Specialist will report to the Director of Human Resources.

The ideal candidate will have experience in a unionized manufacturing environment, strong payroll knowledge, and a commitment to delivering accurate and efficient payroll services.

Duties & Responsibilities
  • Process full-cycle weekly and bi-weekly payroll accurately and on schedule for hourly and salaried employees.
  • Review, reconcile, and validate employee timecards and attendance records.
  • Administer payroll-related activities, including earnings, deductions, taxable benefits, and adjustments.
  • Prepare and process statutory remittances and ensure compliance with federal and provincial payroll regulations.
  • Prepare annual payroll reporting, including T4s and other required government filings.
  • Assist with payroll-related financial reporting and account reconciliations.
  • Support the administration of employee benefits and pension programs, including enrollments, changes, and terminations.
  • Interpret and apply collective agreement provisions related to pay, premiums, overtime, and benefits.
  • Respond to employee payroll and benefits inquiries in a professional and timely manner.
  • Maintain accurate payroll records and ensure the confidentiality of employee information.
  • Identify opportunities to implement payroll best practices and optimize payroll processes to improve efficiency, accuracy, and service delivery.
  • Assist with payroll audits and support continuous improvement initiatives.
Qualifications & Experience
Required Qualifications
  • Minimum of 3-5 years of payroll experience, including full-cycle payroll and T4 processing.
  • Experience working in a unionized environment with demonstrated knowledge of collective agreements.
  • Knowledge of Canadian payroll legislation, remittances, and payroll compliance requirements.
  • Advanced report writing, data analysis, and HRIS experience, including the development of payroll and workforce reports and the analysis of data to support operational and strategic decision-making.
  • Experience administering employee benefits programs.
  • Strong analytical, organizational, and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and meet critical deadlines.
Preferred Qualifications
  • Previous experience in a manufacturing environment.
  • Payroll designation (PCP) or progress toward certification.
  • Experience with ADP and/or Payworks payroll systems.
  • Experience with payroll process improvement, system enhancements, and implementing payroll best practices.
  • Proficiency with Microsoft Excel and payroll reporting tools.
