Responsibilities

  • Processes payroll bi-weekly for designated employee groups with accuracy and timeliness.
  • Analyzes payroll information and reports to identify discrepancies before processing.
  • Reviews and processes manual payroll inputs and peers' inputs for accuracy.
  • Handles terminations, including knowledge of multi-state final pay laws.
  • Acts as the point of contact for payroll questions from employees, management, and HR.
  • Manages payroll inbox, ensuring timely follow-up and issue resolution.
  • Leads garnishments, tax withholdings, employment verifications, and unemployment claims.
  • Coordinates with HR and branches to ensure accurate payroll changes.
  • Maintains payroll records and documentation per policy and retention requirements.
  • Provides backup support to ensure continuity of payroll processing.

Job description

The Payroll Specialist is responsible for processing payroll bi-weekly, in addition to performing checks and balances prior to processing to ensure accuracy and compliance with company policies and applicable regulations. The Payroll Specialist also serves as the point of contact to company-wide employees regarding payroll-related questions and routine payroll matters.

Essential Duties and Responsibilities:
  • Processes payroll bi-weekly for designated employee groups, ensuring accuracy, timeliness, and compliance with company policies and applicable federal, state, and local regulations.
  • Analyzes payroll information, reports, and exception items to identify discrepancies and resolves accordingly prior to payroll processing.
  • Processes manual payroll inputs and reviews other team members’ manual payroll inputs, ensuring accuracy.
  • Processes terminations, which requires knowledge of multi-state final pay laws.
  • Serves as the point of contact to employees, management, and HR regarding payroll-related questions and routine payroll matters.
  • Manages and monitors the payroll inbox, ensuring timely follow-up, issue resolution, and completion of payroll-related action items.
  • Leads garnishments, tax withholdings, employment verifications, unemployment claims, and other payroll compliance activities.
  • Coordinates with HR, branch leadership, and other departments to ensure employee changes are completed accurately and timely as it relates to payroll.
  • Maintains payroll records and supporting documentation in accordance with internal payroll process, company policies, and retention requirements.
  • Provides backup support for payroll team responsibilities to ensure continuity of operations and timely payroll processing.

  • Must have knowledge of a variety of computer software applications including Word, Excel, and Outlook. Must be able to learn other applications quickly, including in-house applications.
  • Must be detail oriented and able to identify errors.
  • Must be able to work in a fast-paced environment with a demonstrated ability to juggle multiple competing tasks and demands.
  • Must be able to demonstrate dependability and initiative.
  • Must have good command of the English language, both oral and written.
Education and/or Experience:
  • High School Diploma required. College degree is a plus.
  • Two or more years of experience in a corporate environment.
Physical Demands:
  • Must be able to constantly remain in a stationary position.
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Occasionally may require light lifting up to 25 pounds.
Work Environment:
  • Office environment.
