Job summary

Helix Electric is hiring a Payroll Specialist to manage in-house weekly payroll for 500+ employees across multiple states on private and prevailing wage construction projects. You will collaborate with Benefits & HR to onboard employees from HRIS into payroll, and ensure key regulatory compliance.

The role requires 3–5+ years of full-cycle payroll experience, a Bachelor’s in Business or Accounting, and solid knowledge of US payroll tax rules.

• Working knowledge of multi-state payroll and payroll tax rules in the US.

Responsibilities

• Process weekly payroll for 500+ employees across multiple states.
• Coordinate onboarding from HRIS into payroll system with Benefits & HR teams.
• Audit garnishments, levies, and child support in compliance with federal/state/local rules.
• Review/update W-4s, direct deposits, state forms, and address changes in ESS.
• Process PTO payouts, layoff checks, and missed hours as needed.
• Ensure accurate payroll calculations by auditing imported CSVs before posting.

Our Payroll Specialist completes in-house weekly payroll for approximately 500+ employees in multiple states for both private and prevailing wage construction projects.

DETAILED JOB DESCRIPTION:

DESCRIPTION OF DUTIES & SCOPE:

• Weekly multi-state payroll processing for500+ employees, ensuring integrated processes are running effectively
• Coordinate with Benefit & HR Team members to complete onboarding from HRIS into payroll system
• Review, interpret and maintain garnishments, levies and child support orders in accordance with Federal, State and local regulations.
• Audit periodic Employee Self-Service updates for W-4, Direct deposit forms, State withholding forms, change of address forms
• Process employee PAFs and VOEs, including transfers, promotions/rate changes, allowances, status changes
• Timesheet tracking; follow up with employees and managers for timely entry and approvals
• Process termination PTO payouts, weekly layoff checks and missed hours as manual checks
• Audit and correct imported payroll CSV files prior to transmission and posting to ensure proper pay, benefit and tax calculations

QUALIFICATIONS:

• Requires a minimum of3-5+ years’ experiencewith full-cycle multi-state payroll (weekly)
• Bachelor’s degree in Business or Accounting, or combination education and work experience
• Working knowledge of multi-state payroll and payroll tax rules and regulations in the US
• Experience with ERP systems and reporting functions
• Proficient in Microsoft suite, and Adobe or Bluebeam applications
• Ability to provide excellent customer service and work well in teams to establish and maintain effective working relationships
• Demonstrated ability to hold information confidential with use of appropriate judgment when handling sensitive data
• Familiarity with certified payroll reporting helpful but not required
• Ability to thrive in a fast-growing environment where change is the norm; strong multi-tasking skills, and flexibility to switch from one project to the next quickly
