Join our growing company as a Payroll Supervisor/Payroll Manager!
We are seeking a highly detail-oriented and experienced Payroll Supervisor to oversee the accurate and timely processing of bi-weekly payroll for 850+ employees across multiple facilities and states. This is a critical role responsible for payroll administration, tax compliance, reporting, employee support, and ensuring that payroll practices consistently meet company, state, and federal requirements.

Key Responsibilities
Payroll Processing & Administration
- Process bi-weekly payroll for 850+ employees, ensuring timely and accurate payment.
- Ensure accurate calculation of wages, overtime, tax withholdings, deductions, and other compensation components.
- Review timesheets, bonus sheets, hours, and other payroll inputs to ensure all information is received, approved, and processed accurately and on time.
- Manage daily hours for all facilities, including moving hours and entering time as needed.
- Process and maintain direct deposits.
- Address employee payroll questions and resolve discrepancies promptly and professionally.
- Process payroll adjustments, including 401(k), HSA, garnishments, terminations, PTO, unpaid leaves of absence, FMLA, and other payroll-related changes.
- Enter and manage required deductions involving multi-state tax deductions and withholdings.
- Process union dues, COPE, fees, health and welfare deductions, shift differentials, attendance bonuses, and other applicable payroll items.
- Ensure proper tax handling and tax codes are established and maintained for employees.
Payroll Tax & Compliance
- Ensure payroll practices comply with applicable federal, state, and local laws and regulations.
- Manage payroll tax payments and filing of required returns.
- Ensure accurate governmental reporting and compliance related to payroll taxes.
- Prepare monthly, quarterly, and annual payroll and tax reports.
- Maintain compliance with audit and tax requirements.
- Manage year-end payroll processes, including W-2 and 1095-C preparation and distribution.
- Manage third-party unemployment processes and requirements.
- Monitor regulatory and policy requirements and help ensure company procedures are consistently followed.
Reporting, Billing & Vendor Management
- Generate and distribute payroll reports for internal use and provide reports to appropriate personnel.
- Review carrier and third-party billings for accuracy and resolve discrepancies.
- Coordinate with internal departments, employees, carriers, governmental agencies, and other external contacts as necessary.
- Maintain accurate payroll records, documentation, and supporting materials.
Administrative & Other Responsibilities
- Maintain organized payroll files and documentation, including filing, mailing, and recordkeeping.
- Provide oversight to ensure company payroll policies and procedures are consistently followed.
- Support audits and provide required payroll documentation and information.
- Perform other duties and responsibilities as assigned based on organizational needs.
Qualifications
- College degree in Business, Accounting, Finance, Human Resources, or a related field, or equivalent combination of education and relevant experience.
- Strong payroll knowledge and demonstrated experience managing complex payroll operations.
- Experience with multi-state payroll, payroll tax compliance, deductions, garnishments, benefits, and year-end reporting preferred.
- Strong management, leadership, organizational, and problem-solving skills.
- Excellent verbal, written, and interpersonal communication skills, with the ability to effectively interact with employees, leadership, vendors, carriers, governmental agencies, and other external contacts.
- Exceptional attention to detail and commitment to accuracy.
- Ability to manage confidential information with discretion and professionalism.
- Strong analytical skills and the ability to investigate and resolve discrepancies efficiently.
- Ability to prioritize multiple deadlines and responsibilities in a fast-paced environment.
