Qualifications

  • Bachelor's degree in a related field or equivalent payroll experience.
  • Minimum 3 years of experience processing multi-state payroll with certified payroll requirements.
  • Proficiency in Microsoft Excel and HRIS/payroll systems.
  • Strong confidentiality, discretion and accuracy in handling payroll data.

Responsibilities

  • Process weekly and bi-weekly payrolls accurately and on time.
  • Maintain payroll and benefits changes in HRIS/payroll system with data integrity.
  • Manage wage garnishments and withholding orders, ensuring compliance.
  • Process terminations per final-pay requirements and timely final pay.
  • Communicate payroll-related updates clearly to employees at all levels.
  • Prepare weekly certified and prevailing wage payroll for applicable projects.
  • Submit OCIP/CCIP reporting on time and accurately.
  • Support benefits enrollment and related administrative tasks.

The Role

We are seeking a highly organized and detail-oriented Payroll & Benefits Specialist with experience in certified payroll to join our growing team. This position is responsible for the accurate and timely administration of multi-state payroll and employee benefits, while ensuring compliance with applicable regulations and company policies.

The Payroll & Benefits Specialist will serve as a key point of contact for employees and management, providing knowledgeable and responsive support for payroll- and benefits-related inquiries. The ideal candidate demonstrates strong attention to detail, sound judgment, discretion, and a commitment to accuracy and exceptional service.

Key Responsibilities
  • Process weekly and bi-weekly payrolls accurately and in accordance with established deadlines and applicable regulations.
  • Maintain and administer payroll and benefits-related employee changes within the HRIS/payroll system, ensuring data integrity and accuracy.
  • Manage wage garnishments and withholding orders, including timely processing, compliance monitoring, and follow-up to ensure accurate administration.
  • Process employee terminations in accordance with applicable federal and state final-pay requirements, ensuring timely and accurate issuance of final pay.
  • Communicate payroll-related changes, updates, and requirements clearly and professionally to employees at all levels of the organization.
  • Prepare and process weekly certified payroll and prevailing wage payroll for applicable projects, ensuring compliance with contractual and regulatory requirements.
  • Prepare and submit required OCIP/CCIP reporting accurately and within established deadlines.
  • Support employee benefits enrollment and related administrative processes, providing timely assistance to employees and maintaining accurate records.
What You'll Bring
  • Education: Bachelor's degree in a related field preferred, or an equivalent combination of education and demonstrated payroll experience.
  • Experience: Minimum of 3 years of experience processing multi-state payroll, including experience with certified payroll requirements.
  • Technical Skills: Proficiency in Microsoft Excel and experience with HRIS and payroll systems.
  • Communication: Strong written and verbal communication skills, with the ability to communicate effectively across all levels of the organization.
  • Confidentiality & Discretion: Demonstrated ability to exercise sound judgment, maintain confidentiality, and safeguard sensitive payroll and employee information.
  • Professional Attributes: High degree of professionalism, integrity, accountability, attention to detail, and commitment to accuracy.
