Job summary

Matrix Finance and Accounting in Renton, WA is seeking an experienced Payroll Administrator to manage end-to-end payroll for a multi-state workforce, including union and non-union employees. This role ensures accurate, timely processing while maintaining compliance with federal, state, local, and CBA requirements.

The ideal candidate will be detail-oriented, knowledgeable in payroll tax regulations, and experienced with multiple union contracts.

Qualifications

  • 5+ years of payroll administration experience.
  • Experience with multi-state payroll processing.

  • Strong knowledge of federal and state wage and hour laws.
  • Experience with wages, deductions, and year-end processes.

Responsibilities

  • Process weekly, bi-weekly, and semi-monthly payroll for employees across multiple states
  • Administer payroll for union and non-union employees, ensuring CBA compliance
  • Interpret and apply union contract provisions (wages, shift differentials, overtime, premiums, holiday pay, vacation accruals, and benefits)
  • Calculate and process prevailing wage, certified payroll, retroactive pay, bonuses, commissions, and other supplemental earnings
  • Maintain payroll records: earnings, deductions, garnishments, tax withholdings, benefit elections
  • Ensure compliance with payroll tax regulations and filing requirements
  • Coordinate payroll tax registrations across jurisdictions
  • Reconcile payroll reports, deductions, and GL accounts
  • Process wage garnishments, child support orders, tax levies, other deductions
  • Respond to employee questions and resolve discrepancies
  • Partner with HR, Accounting, Benefits to ensure accurate data and processing
  • Prepare payroll reports for finance, audits, and regulatory agencies
  • Support month-end, quarter-end, year-end payroll activities including W-2 processing
  • Maintain confidentiality of payroll data
  • Suggest process improvements and assist with payroll system testing

Job description

We are seeking an experienced Payroll Administrator to manage end-to-end payroll processing for a multi-state workforce, including union and non-union employees. This role is responsible for ensuring accurate and timely payroll processing while maintaining compliance with federal, state, local, and collective bargaining agreement (CBA) requirements. The ideal candidate is highly detail-oriented, knowledgeable in payroll tax regulations, and experienced working with multiple union contracts in a fast-paced environment.

Key Responsibilitie
  • sProcess weekly, bi-weekly, and semi-monthly payroll for employees across multiple states
  • .Administer payroll for both union and non-union employees, ensuring compliance with collective bargaining agreements (CBAs)
  • .Interpret and apply union contract provisions related to wages, shift differentials, overtime, premiums, holiday pay, vacation accruals, and benefit contributions
  • .Calculate and process prevailing wage, certified payroll, retroactive pay, bonuses, commissions, and other supplemental earnings as required
  • .Maintain accurate payroll records, employee earnings, deductions, garnishments, tax withholdings, and benefit elections
  • .Ensure compliance with all federal, state, and local payroll tax regulations and filing requirements
  • .Coordinate payroll tax registrations and maintain compliance in multiple jurisdictions
  • .Reconcile payroll reports, benefit deductions, and general ledger accounts
  • .Process wage garnishments, child support orders, tax levies, and other involuntary deductions
  • .Respond to employee payroll questions and resolve discrepancies in a professional and timely manner
  • .Partner with Human Resources, Accounting, and Benefits teams to ensure accurate employee data and payroll processing
  • .Prepare payroll reports for finance, audits, and regulatory agencies
  • .Support month-end, quarter-end, and year-end payroll activities, including W-2 processing and annual reconciliations
  • .Maintain confidentiality of employee information and payroll records
  • .Recommend process improvements and assist with payroll system enhancements and testing
Qualificatio
  • ns5+ years of payroll administration experienc
  • e.Minimum 3 years of multi-state payroll processing experienc
  • e.Minimum 2 years of union payroll experience, including interpreting collective bargaining agreement
  • s.Strong understanding of federal and state wage and hour laws, payroll tax regulations, and compliance requirement
  • s.Experience processing payroll for 300+ employees preferre
  • d.Experience with prevailing wage and certified payroll is a plu
  • s.Proficiency with payroll systems such as ADP Workforce Now, UKG, Paycom, Workday, Ceridian Dayforce, or Paylocit
  • y.Advanced Microsoft Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, and data reconciliatio
  • n.Excellent analytical, organizational, and problem-solving skill
  • s.Strong communication skills with the ability to work collaboratively across department
  • s.CPP (Certified Payroll Professional) certification is a plu
