Aegis Healthcare is seeking a Payroll and Account Specialist to ensure accurate and timely employee compensation and maintain the integrity of financial accounts. The role supports our finance team and collaborates with clinical and administrative staff.

Candidates should have strong numbers acumen, be highly organized, and comfortable working independently, with a focus on accuracy and confidentiality.

Qualifications

• High school diploma or GED
• 2–5 years combined experience in full-cycle payroll processing and general ledger bookkeeping/accounting
• Direct experience using isolved for time tracking or payroll administration
• Advanced proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables)
• Associate or Bachelor's degree in Accounting, Finance, or HR preferred
• Demonstrated confidentiality of sensitive payroll/financial records

Responsibilities

• Manage, review, and audit employee timecards, visit differentials, and overtime tracking using isolved HCM
• Execute full-cycle, multi-entity payroll processing accurately and on-time
• Process complex benefit deductions (healthcare allocations, HSA, 401(k), garnishments)
• Input new hire data, payroll profiles, compensation, and tax withholding into core database
• Reconcile general ledger payroll accounts and cross-check benefits invoices to resolve variances
• Generate standard compliance reports for year-end W-2s and audits

• Compensation: $28-$32
• Status: Full-Time
• Schedule: Monday - Friday, 8 AM - 5 PM

About the Role

At Aegis Healthcare, our administrative teams ensure our clinical operations run seamlessly to support our patient-focused continuum of care. As a Payroll and Account Specialist, you will be a critical anchor for our finance team (is this your team?), ensuring our employees are compensated accurately and on time, while maintaining the precise integrity of our financial accounts.

This is a detail-driven, balanced role for someone who possesses strong numbers acumen, works well independently, and builds trust naturally across our clinical and administrative teams.

Your key responsibilities will include:

• Manage, review, and audit employee timecards, visit differentials, and overtime tracking utilizing the isolved HCM system.
• Execute full-cycle, multi-entity payroll processing accurately and in accordance with strict company and regulatory timelines.
• Process complex benefit deductions, including healthcare allocations (PPO/HDHP), HSA contributions, 401(k) structures, and mandatory garnishments. (wasn't sure if this is part of the role or not)
• Input new hire data, payroll profiles, compensation rates, and tax withholding documentation into the core database. (wasn't sure if this is part of the role or not)
• Reconcile general ledger payroll accounts and cross-reference monthly third-party benefit invoices with internal system deductions to resolve variances.
• Generate standard compliance reports to support year-end W-2 processing and annual internal/external audits.

Qualifications

To thrive in the role of Payroll and Account Specialist, you must:

• Have a high school diploma or GED
• Have at least 2 to 5 years of combined experience in full-cycle payroll processing and general ledger bookkeeping/accounting.
• Direct, hands-on experience utilizing isolved for time tracking or payroll administration is highly preferred.
• Possess advanced proficiency in Microsoft Excel (including VLOOKUPs and Pivot Tables).
• Have a high school diploma or equivalent (Associate's or Bachelor's degree in Accounting, Finance, or HR is strongly preferred).
• Demonstrate an exceptional track record of maintaining absolute confidentiality regarding sensitive payroll and financial records.
