Job summary

Women’s Care’s Bend, OR clinic is seeking a Patient Workflow Coordinator to align scheduling, referrals, and patient communications across the perinatal team. You’ll act as on-site lead, manage referrals, verify insurance, and coordinate pre-visit prep to keep patients moving smoothly.

Ideal candidates have at least two years of medical office experience, a High School Diploma/GED, and strong communication and detail orientation.

  • Template physician and sonographer schedules and review appointments to ensure correct patient and referrals.

  • Verify referral completeness and required documents.
  • Contact referred patients to schedule initial appointments.
  • Coordinate appointment times with clinical teams and ensure pre-visit prep is completed.
  • Verify patient insurance coverage and eligibility.
  • Track referrals to monitor sources and flow.

We’re looking for a Patient Workflow Coordinator who is part air-traffic controller, part problem-solver, and 100% committed to making the patient experience smoother. In our perinatal care environment, there are a lot of moving pieces—and you’ll be the person helping make sure they all land where they’re supposed to. About the Role:

This is a full-time opportunity working on-site at our Perinatal Associates of Central Oregon (PACO) clinic in Bend, OR. The position has an expectation of 40hrs per week (Mon - Fri) and we are proud to offer an attractive benefits package. Our Patient Workflow Coordinator recruiting pay range starts at $25/hr.

What will you do:
  • Templating for physician and sonographer schedules including review of all department appointments and referrals to ensure that the correct patient, assigned appointment, insurance field, and referring doctor is included.
  • Acting as the “go to” on site at the Bend clinic for team members and providers.
  • Receive, review, and process patient referrals from external healthcare providers or patients.
  • Verify and confirm referral completeness, including required documentation and medical records.
  • Contact referred patients to schedule initial appointments, ensuring alignment with provider availability.
  • Coordinate appointment times with appropriate clinical teams and ensure necessary pre-visit preparations are completed.
  • Verify patient insurance coverage and eligibility.
  • Referral tracking to be able to understand how and where referrals are coming in.
Requirements

  • Experience: Two years of medical office experience required.
  • Education: High School Diploma/GED required.
