Job summary

EmergeOrtho in North Carolina is seeking a Front Desk/Check-In Specialist to welcome patients, verify insurance, schedule appointments, and prepare medical charts for visits.

You will manage high patient volumes with professionalism, coordinate with staff and providers, and help maintain accurate patient records while upholding confidentiality and customer service excellence.

Qualifications

  • High school diploma or equivalent required.
  • Strong communication and customer service skills essential.
  • Experience as a check-in specialist is preferred but not required.
  • Knowledge of insurance guidelines and insurance entry processes advantageous.
  • Experience in financial collections is a plus.
  • Ability to handle high patient volumes and maintain composure under stress.
  • Ability to multitask and prioritize effectively.

Responsibilities

  • Greeting patients and handling front-desk duties like check-in, registration, and check-out.
  • Insurance verification and appointment scheduling.
  • Prepare and review charts for appointments and processing orders.
  • Maintain professional communication with staff and providers.
  • Schedule appointments to optimize patient satisfaction and provider time.
  • Notify providers of arrivals and delays to keep appointments on track.
  • Answer phones, assist patients, and maintain a welcoming reception area.
  • Maintain patient accounts and records, including personal and financial information.
  • Manage office supplies and equipment, and support travel to other office locations as needed.
  • Contribute to team efforts and perform additional duties as assigned.

Qualifications and Experience:
  • High school diploma/GED or equivalent previous experience.
  • Sound communication skills.
  • Excellent customer service.
  • Previous experience as a check‑in specialist is recommended, but not required.
  • Experience and knowledge of insurance guidelines and insurance entry.
  • Experience in financial collections is recommended, but not required.
  • Ability to handle high patient volumes.
  • Ability to maintain composure when stressful situations are encountered.
  • Ability to multi‑task and prioritize.
Responsibilities include, but are not limited to, the following:
  • Greeting patients; answering phones; patient check‑in, registration, and check‑out; insurance verification; appointment scheduling; prepare and review charts for appointments; and processing orders
  • Keeps an open line of professional communication with assigned staff and providers regarding patient needs
  • Maintains a pleasant and cooperative demeanor while performing all duties
  • Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone, answering or referring inquiries.
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
  • Helps patients in distress by responding to emergencies.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations as assigned
