Qualifications

  • High school diploma or GED required or equivalent experience.
  • Strong communication skills are essential.
  • Excellent customer service abilities are expected.
  • Experience as a check-in specialist is preferred but not required.
  • Knowledge of insurance guidelines and insurance entry is helpful.
  • Experience in financial collections is a plus.
  • Ability to handle high patient volumes.
  • Ability to stay calm under pressure and to multi-task.

Responsibilities

  • Greeting patients and visitors; answering phones; patient check-in, registration, and check-out; insurance verification; appointment scheduling; preparing and reviewing charts for appointments; processing orders.
  • Maintains open communication with staff and providers regarding patient needs.
  • Keeps a pleasant, cooperative demeanor while performing duties.
  • Welcomes patients and visitors in person or on the phone, answering inquiries if needed.
  • Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments.
  • Notifies providers of patient arrivals and any schedule delays to maintain on-time service.
  • Comforts patients by addressing anxieties and answering questions, maintaining the reception area.
  • Maintains patient records and accounts with updated personal and financial information.
  • Manages office inventory and equipment; orders supplies as needed; coordinates repairs.
  • Responds to emergencies and protects patient confidentiality.
  • Follows policies and procedures; supports team goals and special projects.
  • Performs other duties as assigned by Manager, including travel between offices.

The specialist checks in patients for appointments by confirming the appointment time, reviewing, and verifying demographics, confirming insurance eligibility, and collecting all due balances, deposits, and co-payments. The specialist completes assigned daily reports to maintain office efficiency.

Responsibilities include, but are not limited to, the following:

  • Greeting patients; answering phones; patient check-in, registration, and check-out; insurance verification; appointment scheduling; prepare and review charts for appointments; and processing orders
  • Keeps an open line of professional communication with assigned staff and providers regarding patient needs
  • Maintains a pleasant and cooperative demeanor while performing all duties
  • Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone, answering or referring inquiries.
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
  • Helps patients in distress by responding to emergencies.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations as assigned
