We're hiring a Patient Conversion Specialist to help new patients take the first step toward sleep care.
You'll primarily make outbound calls to people who were referred to Arima or expressed interest in care. You'll explain what to expect, answer non-clinical questions, resolve scheduling and access barriers, and help patients book and prepare for their first appointment.
This role is ideal for someone who combines the warmth of a patient advocate with the follow-through and goal orientation of a high-performing contact-center or inside-sales professional. You should be comfortable with a high volume of calls while making each patient feel heard and respected.
The role may also support inbound calls, scheduling, intake follow-up, and other administrative tasks as business needs evolve.
What You'll Do
- Call newly referred and interested patients promptly
- Guide patients from referral or inquiry to a scheduled first visit
- Explain Arima's virtual care process in clear, patient-friendly language
- Address common non-clinical questions and scheduling concerns
- Follow up with patients who did not complete booking or intake
- Re-engage canceled, missed, or unresponsive patients using approved outreach workflows
- Document every interaction and maintain accurate next steps in our systems
- Meet activity, conversion, quality, and service goals
- Escalate clinical, billing, eligibility, privacy, or complaint issues appropriately
- Share recurring patient feedback to improve scripts and workflows
- Assist with inbound calls and administrative projects when needed
What We're Looking For
- 2+ years in patient access, healthcare scheduling, patient engagement, care navigation, enrollment, contact-center, inside-sales, or customer-support work
- Experience making outbound calls and asking for a clear next step
- Excellent verbal communication and active-listening skills
- Empathy, persistence, and confidence speaking with patients who may be uncertain or frustrated
- Strong organization and reliable follow-through
- Accurate documentation and comfort working across several software tools
- Comfort working toward measurable activity, conversion, and quality goals
- Good judgment and respect for privacy and compliance requirements
Nice to Have
- Digital health, telehealth, sleep medicine, or specialty-care experience
- Healthcare referral-conversion or appointment-scheduling experience
- EHR or CRM experience, especially Athenahealth, Salesforce, HubSpot, or Zendesk
- Insurance eligibility or patient-estimate familiarity
- Bilingual communication skills
