Patient Services Specialist (Healthcare)

JOB SUMMARY:

The Patient Services Specialist (PSS) uses their experience and knowledge to appropriately triage scheduling and clerical duties. This individual will have the technical knowledge to properly schedule appointments, maintain patient records, and perform clerical tasks. Their work allows physicians and clinical staff to focus on patient care that requires specialized knowledge. The PSS is responsible for performing various secretarial and clerical responsibilities in support of physicians and clinic staff. Multitasking and attention to detail are essential, with little room for error. This description covers full-time, part-time, and PRN PSS roles.

JOB DESCRIPTION:

  1. Gather pre-admission information from hospital, patient, or family members before initial and follow-up visits.
  2. Obtain financial updates, document in billing system, complete forms, and secure signatures as required.
  3. Ensure patient documents are complete and signed.
  4. Update patient information and support patients and medical staff.
  5. Locate and retrieve path reports, outside medical records, and radiology reports as needed.
  6. Refer patients to financial counselors for billing questions or assistance.
  7. Coordinate with social workers for patient needs such as lodging, transportation, or medication requests.
  8. Forward medical records requests to the centralized medical records department.
  9. Schedule referring and future physician appointments, including sending necessary records.
  10. Maintain accurate and up-to-date initial and follow-up appointment schedules in the computer system.
  11. Investigate no-shows, document reasons, and follow up accordingly.
  12. Reschedule canceled appointments ensuring follow-up.
  13. Document daily work for reporting purposes.
  14. Research and update expired patient information in EMR and billing systems, notifying relevant staff.
  15. Greet, screen, and direct patients, ensuring proper queuing and informing clinical staff of arrivals.
  16. Prepare and send new patient packets and related correspondence.
  17. Process EMR messages and worklist queues.
  18. Travel to satellite centers as required.

EDUCATION, CERTIFICATION, LICENSURE, AND REGISTRATION:

  • High school diploma or GED.
  • Associate degree in business administration or secretarial program is a plus.
  • Valid Arkansas driver’s license.

EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES:

  • Minimum 1 year of customer service experience required; medical office experience preferred.
  • Proficiency in EMR systems preferred.
  • Strong knowledge of medical terminology and office procedures.
  • Excellent computer skills and familiarity with office equipment.
  • Good command of grammar, spelling, and punctuation.
  • Effective time management and organizational skills.
  • Ability to follow written and oral instructions.
  • Clear and concise communication skills.
  • Ability to establish effective working relationships with patients and staff.

REASONING ABILITY:

Capable of solving practical problems and interpreting instructions in various forms.

INTERPERSONAL SKILLS:

Must communicate effectively verbally and in writing, respecting patient confidentiality.

PHYSICAL DEMANDS:

Regularly required to talk, hear, stand, walk, sit, and use hands for handling objects. Vision abilities include close focus and adjustable focus.

WORK ENVIRONMENT:

Potential exposure to infectious diseases; appropriate vaccinations and safety training are provided.
