Responsibilities

  • Welcome patients and family members upon arrival and provide a warm, professional experience.
  • Complete patient check-in and ensure patients understand the check-in process.
  • Update and verify patient demographic and insurance information in the EMR system.
  • Schedule and coordinate patient appointments.
  • Coordinate referrals with providers and care team.
  • Assist patients with paperwork and electronic forms as needed.
  • Request medical records and upload to the EMR system.
  • Answer incoming calls and route messages to the appropriate team member.
  • Provide information about appointments, services, and patient experience.
  • Assist patients with navigating the clinic and next steps in care.
  • Maintain accurate patient records and documentation.
  • Communicate professionally with patients, family, providers, and staff.
  • Assist with patient education and center events as needed.

About the Role

The Patient Services Representative serves as a key point of contact for patients and their families, helping create a welcoming and positive experience from the moment they arrive. The ideal candidate will have healthcare front desk or customer service experience, strong communication skills, and a genuine passion for working with seniors.

This is a great opportunity for someone who enjoys building relationships with patients while staying busy with scheduling, referrals, phone calls, medical records, and electronic medical record (EMR) responsibilities.

Responsibilities
  • Welcome patients and their family members upon arrival and provide a warm, professional experience.
  • Complete patient check-in and ensure patients understand the check-in process.
  • Update and verify patient demographic and insurance information in the electronic medical record system.
  • Schedule and coordinate patient appointments.
  • Coordinate referrals with providers and other members of the care team.
  • Assist patients with completing paperwork and electronic forms as needed.
  • Request medical records and upload documentation into the EMR system.
  • Answer incoming phone calls, take detailed messages, and route calls to the appropriate team member.
  • Respond to questions from current and prospective patients and their family members.
  • Provide general information regarding appointments, services, and the patient experience.
  • Assist patients with navigating the clinic and understanding next steps in their care.
  • Maintain accurate and organized patient records and documentation.
  • Communicate professionally with patients, family members, providers, insurance carriers, vendors, and other members of the healthcare team.
  • Assist with patient education and center events as needed.
  • Help maintain a welcoming, organized, and professional front office environment.
  • Perform additional administrative duties as needed to support the clinic team.
Qualifications
  • Previous medical front desk, patient services, medical receptionist, patient access, or healthcare customer service experience preferred.
  • Strong customer service skills and a warm, welcoming demeanor.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work effectively with senior patients and their families.
  • Comfortable interacting with a diverse group of patients, providers, staff, insurance representatives, and members of the public.
  • Basic understanding of medical terminology, insurance, and/or electronic medical record systems.
  • Proficiency with computers and Microsoft Office.
  • Ability to multitask and prioritize responsibilities in a busy medical office.
  • Ability to maintain professionalism and flexibility in a changing healthcare environment.
Preferred Skills
  • Experience working with a geriatric or senior patient population.
  • Experience working in a medical office or clinical setting.
  • Previous experience with EClinicalWorks (eCW).
  • Experience scheduling medical appointments and coordinating referrals.
  • Experience working with electronic medical record systems.
Pay Range and Compensation Package
  • $18–$22/hour
  • Monday–Friday, 8:00 AM–5:00 PM
  • No PRN shifts
