Sauk Prairie Healthcare, Inc. is seeking a Part-time Patient Services Representative to greet patients, register for services, and handle a multi-line telephone on the hospital campus.

This role supports patient access and front-desk operations in a high-volume setting. The position includes collecting copays, verifying demographics and insurance, coordinating interpreters when needed, and performing general office tasks.

Qualifications

• Preferred: 3–6 months previous customer service experience.
• Preferred: healthcare experience including medical terminology and cash handling.
• Certification: Patient Access Specialist Certification within one year of employment (employer provides).

Responsibilities

• Greet and direct patients, visitors, and vendors; maintain logs.
• Enter patient demographics and verify insurance eligibility.
• Coordinate interpreter services as needed.
• Collect copays and process payments; reconcile at shift end.
• Answer multi-line phone switchboard and route inquiries.
• Assist with scanning, faxing, and basic office duties.
• Support emergency paging and code announcements as needed.

POSITION SPECIFICS

Title: Patient Services Representative

FTE: Part-time, 0.6375 FTE (51 hours per pay period)

Schedule: Every Monday, Tuesday and every other Wednesday 5:00am to 1:00pm; Every other Saturday and Sunday from 7:00am to 2:00pm

Location: Hospital Campus

Holiday Rotation: Minimum of two per calendar year

Weekend Rotation: Every other Saturday and Sunday

On Call Requirements: None

POSITION SUMMARY

Responsible for greeting and helping direct all patients, visitors and vendors, registering patients for inpatient or outpatient services and answering a multiline telephone. Registration may occur via telephone prior to the patient’s visit or in person in a hospital/clinic setting.

POSITION TECHNICAL RESPONSIBILITIES

• Greets and directs all patients, visitors and vendors. Also maintains the visitor and vendor log.
• Verify and accurately enter all patient demographic information, either in person or by telephone, including verifying insurance plans and eligibility at each patient visit, I in both hospital and clinic settings.
• Address and identify patients’ communication needs, contacting an interpreter when necessary and maintaining the iPad checkout process.
• Complete forms, obtain signatures and scan documents into record to accompany inpatients and outpatients, i.e.: Consent for Treatment, Important Message from Medicare, among others.
• Collect copays, deductibles and any self-pay balances, where permissible (cash, checks, credit card payments).
• Document and reconcile any payments collected at the end of the shift and send cash payments to the Billing Department.
• Answer a multi-line computer-based switchboard telephone and either responds to inquiry, directs caller to appropriate personnel, or takes and communicates messages appropriately.
• Regulate overhead paging, and act as control center for codes, announcing the code and direct staff during emergency situations. (any weather warnings, bomb threats, etc.)
• Scanning, order supplies, distribute faxes, direct patients and visitors, screen sales people, sign for packages, reserving meeting rooms electronically, and monitor maintenance and upkeep of office machinery.
• Other duties as assigned.

Education:

• Required: None
• Preferred: High school diploma or equivalent

Experience:

• Required: None
• Preferred: 3 – 6 months previous customer service experience. Previous healthcare experience, including medical terminology and cash handling desired

Licenses and Registrations:

• Preferred: None

Certification(s):

• Required: Patient Access Specialist Certification within one year of employment for employee hired after 1/1/2020. This will be provided by employer.
