Qualifications

• High school diploma required.
• Certified Professional Coder (CPC) preferred.
• Minimum of 1 year of experience in a busy medical office.
• Experience in behavioral health or psychiatry office setting preferred.
• Proficiency with Microsoft Office Suite and medical billing software.
• Strong understanding of insurance policies, billing regulations, and coding standards.

Responsibilities

• Provide administrative and clerical support to ensure efficient daily operations within the Outpatient Psychiatry department.
• Answer and direct incoming phone calls, respond to patient inquiries, and relay messages to clinical staff.
• Schedule patient appointments including new intakes, follow-ups, and therapy sessions while managing cancellations and rescheduling as needed.
• Greet and check in patients, verify demographic and insurance information, and ensure all required forms and documentation are completed.
• Maintain and update patient information within the EHR system, including scanning and uploading documents.
• Coordinate referrals, contact patients to schedule appointments, and track referral status.
• Assist with insurance verification and maintain accurate patient insurance information.
• Prepare and organize daily billing or encounter forms for clinicians as needed.
• Maintain patient records in compliance with confidentiality and HIPAA guidelines.
• Support communication between front office staff, clinicians, and other departments to ensure smooth patient flow.
• Conduct follow-up calls for appointment reminders, missed appointments, and scheduling needs.
• Assist with maintaining office supplies, organizing paperwork, and supporting general administrative tasks.
• Maintain daily logs, trackers, or reports related to scheduling, referrals, and patient follow-ups.
