Description

GENERAL SUMMARY OF DUTIES: Responsible for advanced level scheduling for all patients, including appointments via telephone or electronic communication for procedures, follow-up visits, and ancillary services. Also responsible for obtaining accurate patient information, physician scheduling, endoscopy center scheduling, managing requests received via the Patient Portal, and responding to patient-related issues appropriately.

REPORTS TO: Patient Service Manager

Responsibilities include but are not limited to:

  1. Answering incoming calls promptly while providing high-quality patient care and customer service.
  2. Scheduling, rescheduling, and managing cancellations and no-shows for patient visits and procedures.
  3. Maintaining and updating physician schedules and endoscopy block times; scheduling patients accordingly.
  4. Collecting and recording accurate patient information per AGA Documentation Requirements.
  5. Scheduling procedures in AGA endoscopy suites and coordinating hospital scheduling if needed.
  6. Scheduling ancillary services at AGA.
  7. Handling requests via the Patient Portal or AGA Website efficiently and promptly.
  8. Mailing/emailing information packets to new patients.
  9. Addressing questions about appointments and providing information to referring providers.
  10. Providing patients and relatives with pertinent medical information and mailing preps if needed.
  11. Meeting or exceeding quality and productivity standards set by the leadership team.
  12. Responding to emails and voicemails and returning patient calls timely.
  13. Handling information requests from staff to ensure billing and payment processes are smooth.
  14. Maintaining HIPAA compliance and confidentiality of patient information.
  15. Participating in staff meetings, marketing activities, and ongoing customer service training.
  16. Performing any other duties or special projects as assigned.

Required Education, Skills & Experience

  • High School Diploma or GED required; Certified Medical Assistant preferred.
  • Strong customer service skills and ability to type 45 words per minute required.
  • 2-3 years of call center, eCW, specialty clinic, or gastroenterology experience preferred.
  • Computer literacy, including healthcare systems and Microsoft Office applications.
  • Bilingual skills are strongly preferred but not required.
  • Must have a quiet workspace with sufficient internet bandwidth for remote work.

Physical, Mental, and Environmental Demands

Sitting and standing typical of an office environment; travel within the Metro area required.
