Job summary

Pediatric Home Service, Inc. is seeking a full-time Patient Service Representative to join a customer-focused, supportive team in Jacksonville, FL. You will provide exceptional service to patients and families by phone, email, help desk, and in person while coordinating DME orders and referrals.

The role emphasizes accurate patient records, on-call rotation, and collaboration with internal teams to ensure a positive patient and family experience. Experience with Brightree EHR is a plus.

Qualifications

• High school diploma or equivalent required or 1–6 months related experience.
• DME intake/admissions experience preferred.
• Excellent organization, multitasking, problem solving and communication skills; proactive customer service attitude.

Responsibilities

• Provide exceptional customer service to patients, families, providers, and internal teams by phone, email, help desk, and in person.
• Coordinate and confirm delivery orders for Durable Medical Equipment (DME) and IV supplies when applicable.
• Obtain patient supply orders and assist families with ongoing equipment and supply needs.
• Support new patient referrals and complete DME intake activities.
• Maintain patient account information and documentation accurately and up-to-date.
• Assist with patient questions related to orders, deliveries, billing, and services.
• Collaborate with internal teams to resolve service concerns and ensure a positive patient/family experience.
• Coordinate courier and delivery needs with appropriate team members.
• Perform outbound calls and follow-ups to support patient care and service needs.
• Maintain HIPAA compliance and EHR requirements.

• Hours: Monday-Friday, 8am-5pm

THE POSITION:

We are looking for a full-time Patient Service Representative to join our customer-focused, supportive team. Our Customer Service department is a fast-paced, high-energy environment and you’ll find yourself challenged and required to use critical thinking every day. You will also be surrounded by a close-knit and supportive group who has the same dedication to serving medically fragile children and their families.

• Provide exceptional customer service to patients, families, providers, and internal teams by phone, email, help desk, and in person.
• Coordinate and confirm delivery orders for Durable Medical Equipment (DME) and, when applicable, IV supplies.
• Obtain patient supply orders and assist families with ongoing equipment and supply needs.
• Support new patient referrals and complete DME intake activities.
• Obtain and maintain physician orders and required documentation for products and services.
• Maintain accurate and up-to-date patient account information and documentation.
• Assist with patient and family questions related to orders, deliveries, billing, and services.
• Partner with internal teams to resolve service concerns and ensure a positive patient and family experience.
• Coordinate courier and delivery needs with appropriate team members.
• Complete outbound calls and follow-up activities to support patient care and service needs.
• Maintain compliance with HIPAA, PHS policies, and electronic health record requirements.
• Participate in Patient Services Coordinator of the Day responsibilities, as applicable.
• Participate in an on-call rotation when required based on business needs.
• Perform other duties as assigned.

REQUIREMENTS:

• High school diploma or 1-6 months of related experience and/or training, or an equivalent combination of education and experience.
• Durable medical equipment (DME) intake/ admissions experience preferred
• Exceptionally organized, multi-tasking, problem solving and communication and strong keyboard skills. A high level of initiative combined with a customer service mentality is also required.
• Experience in Brightree EHR a plus!
