Job summary

CardioOne is seeking a motivated Patient Service Representative for our new practice, Cincy Heart. You will be the first point of contact for patients and visitors, delivering exceptional customer service and administrative support to keep the office running smoothly.

Responsibilities include managing appointments, coordinating inquiries, and maintaining accurate records. The role starts late December/early January with launch planned for February 2027, working at the Eastgate and West Chester

Qualifications

  • High school diploma or equivalent; medical office certification is a plus.
  • Experience as a receptionist or in healthcare customer service preferred.
  • Familiarity with medical terminology and procedures.

About the Job

At our new practice, Cincy Heart, we are seeking a highly motivated Patient Service Representatives to join our team! You will serve as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure the smooth operation of the office. You are responsible for managing appointments, coordinating patient inquiries, maintaining accurate records, and assisting in various administrative tasks.

This position is estimated to start in late December/early January as the practice will launch in February 2027.

What you’ll do:
  • Oversee front desk operations of the cardiology practice.
  • Warmly greet patients and visitors as they arrive and assist with patient flow.
  • Assist with the check-in process, verifying patient information and insurance details.
  • Manage the appointment calendar using scheduling software, ensuring optimal time utilization and minimizing patient wait times.
  • Coordinate appointments for new and returning patients and reschedule or cancel them when needed.
  • Collect payments and support front-office financial workflows.
  • Answer incoming phone calls and respond to emails in a courteous and professional manner
  • Address patient inquiries, provide information about services, and assist with prescription refill requests
  • Collect and update patient demographic and insurance information accurately
  • Verify insurance coverage and ensure necessary documentation is complete
  • Maintain and update patient records, ensuring accuracy and confidentiality
  • Organize and file medical documents, test results, and correspondence
  • Keep the waiting area clean and organized, ensuring patients are comfortable while waiting
  • Monitor the flow of patients in the waiting area and inform medical staff of any delays or emergencies
  • Enter patient information, appointments, and other relevant data into the office's electronic health records (EHR) system to maintain accurate and up to date records
  • Work closely with medical staff, nurses, and other administrative personnel to ensure a seamless patient experience
  • Maintain HIPAA patient confidentiality and adhere to privacy regulations.
  • Handle patient concerns and complaints in a professional and empathetic manner.
What you’ll need:
  • High school diploma or equivalent; additional education or medical office certification is a plus.
  • Proven experience as a receptionist or in a customer service role, preferably in a healthcare setting.
  • Familiarity with medical terminology and procedures.
  • Strong interpersonal and communication skills.
  • Proficiency in using scheduling software, electronic health records (EHR) systems, and basic office software (e.g., "Microsoft Office").
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and handle a fast-paced environment.
  • Empathetic and patient-focused approach.
  • Professional appearance and demeanor.
  • Athenahealth experience preferred.
Work Location

You will work out of the Eastgate and West Chester office.

Additional Information

Full-time hourly range of $20-$21 per hour plus medical, dental, and vision benefits. This role will include a matching 401K, 12 days Paid Time Off, and 8 Paid Federal Holidays.
