Through our “ Save My Life Program” , we provide comprehensive, cardiopulmonary physical exams via our five clinic locations within the state . Our goal?
To make sure essential workers and their families have peace of mind , better health outcomes, and reduced occupational risk. Through yearly testing, we are able to diagnose non-symptomatic health issues before they become serious.
Key Responsibilities:
- Manage and maintain legacy scheduling data, including previously contacted patients, inactive leads, cancellations, and unscheduled appointments.
- Conduct outbound phone calls to re-engage patients and assist with scheduling appointments.
- Execute email outreach campaigns to reconnect with prior patients and scheduling opportunities.
- Maintain accurate and up-to-date records within scheduling databases and EHR systems.
- Track patient engagement efforts, outreach attempts, appointment statuses, and follow-up activity.
- Utilize scheduling strategies and outreach initiatives to maximize clinic scheduling capacity.
- Respond promptly to inbound scheduling inquiries and patient communications.
- Educate patients on appointment requirements, scheduling procedures, and next steps.
- Identify opportunities within old scheduling data to improve booking conversion rates and patient retention.
- Participate in regular meetings regarding scheduling performance, outreach effectiveness, and workflow improvements.
- Adhere to HIPAA guidelines and maintain patient confidentiality at all times.
- Address patient concerns, scheduling conflicts, and engagement barriers professionally and efficiently.
- Collaborate with scheduling, marketing, and operations teams to support patient growth initiatives.
- Generate and provide KPI and outreach performance reports to management.
- Other duties as assigned.
Qualifications:
- Previous experience in healthcare scheduling, patient outreach, customer engagement, call center operations, or administrative support preferred.
- Familiarity with medical terminology, scheduling workflows, and EHR systems.
- Strong communication and interpersonal skills with confidence speaking to patients over the phone.
- Experience conducting outbound calling campaigns and/or email outreach preferred.
- Strong organizational skills and attention to detail when managing large datasets.
- Ability to multitask and handle high outreach and scheduling volumes efficiently.
- Self-motivated with strong follow-through and persistence.
- Ability to work independently and collaboratively within a team environment.
- Strong problem-solving and critical-thinking skills.
- Adaptability to changing priorities and operational needs.
- Basic computer and data entry proficiency.
