Job overview

The Patient Safety Administrator role is to provide comprehensive administrative support to the Patient Safety Team and will be accountable to the Patient Safety Lead.

To use the Ulysses Incident Reporting System (Part of the overarching Ulysses Risk Management System) to provide support to the Patient Safety Teams review and analysis of incident reports and identification of immediate concerns.

To plan and organise meetings, diaries and team activities.

To order products and services that enable effective and efficient use of departmental resources.

To be responsible for preparation of meeting papers and where required take meeting notes and or minutes.

The post holder is expected to always maintain complete confidentiality and to represent the team in an efficient and courteous manner.

The role will include various work streams and ad-hoc tasks to be undertaken.

Main duties of the job

Key Result Areas & Performance :

The post holder will work as part of the Patient Safety Team, reporting to the Patient Safety Lead and will perform the following functions:

  • Meetings
  • To work with the Patient Safety Team to arrange meetings.
  • Helping with admin tasks around agenda setting for key meetings
  • Organisation of papers to be sent / received.
  • Sending calendar or electronic invites.
  • Calendar management.
  • Organisation of venues (if appropriate).
  • Liaise with the attendees as needed.
  • Minute / note taking and writing up of these.
  • To carry out other administrative duties needed.

· Ulysses Incident System:

  • To assist the Patient Safety Team with incident management using the Ulysses Incident Module by following training and SOP guidance of process.
  • To identify and report any issues with the Ulysses System to the Patient Safety Lead and or the Ulysses Systems Team.

· Alignment to work streams:

  • To be aligned to specific working groups / projects within the Patient Safety Team to provide administrative support.

Detailed job description and main responsibilities

General:

  • To be the Patient Safety Teams contact for ordering of supplies via our Procurement system for ordering stationery and or equipment.
  • To undertake any other appropriate tasks as requested from within the Patient Safety Team and or via the senior management team.
  • To work as an effective team member, develop, maintain and contribute within networks to enhance and ensure effective working process and practice, within and beyond your immediate work area, to influence the changing and developing organisation.
Person specification
Knowledge and Skills
  • Excellent English (written and verbal skills).
  • Ability to analyse problems and identify solutions.
  • Experience of using Microsoft Word, PowerPoint, Outlook, MS Teams and Excel
  • General knowledge of Patient Safety and Improvement work.
Experience
  • Experience of working within the NHS or an acute healthcare environment
  • Experience of working with all levels of staff
  • Experience in a Patient Safety department or Governance team.
  • Experience of providing support and information to others.
Qualifications
  • GCSE (or equivalent) at grade C (or equivalent) or above in English NVQ level 4 or equivalent experience and knowledge
