What You’ll Do
- Provide administrative support to departmental physicians, supervisors, managers, and administrators by receiving and disseminating telephone and fax messages in a timely and appropriate manner.
- Provide consistent support/coverage as needed per departmental policy.
- Direct patients, families, and visitors to appropriate medical treatment areas in a sensitive and caring manner.
- Assist with the distribution of reports, records, and messages while maintaining patient and clinic confidentiality.
- Assist with maintaining internal and external supply inventory.
- Comply with Micro MD and BSO departmental billing functions by posting patient charges and payments.
- Assist the manager by coordinating, reviewing, and preparing clinic charts for patient appointments as per departmental policy.
- Maintain the office in a neat and orderly fashion and assist in maintaining a safe environment.
- Assist the manager and district manager in completing requests for medical records and any other requests.
- Keep charts in proper order, inserting forms and reports in the appropriate location, and ensuring all forms and dictations are completed.
- Copy materials, obtain mail when requested, and initiate, prepare, update forms, reports, and records on a routine basis.
- Respond to corporate, physician, patient, family, attorney, and inter/intra departmental general inquiries and ambiguous situations.
- Utilize QIP principles and techniques for organizational change and systems modification.
- Operate and maintain pertinent office machines and equipment, including fax, computers, and copiers.
- Assist with the collection, sorting, and distribution of departmental mail, correspondences, faxes, and phone messages in a timely manner.
- Perform other duties and assignments as directed and/or necessary.
- Interview patients, collect information, and enter it into the computer.
- Ensure patients’ paperwork matches Micro MD records.
- Verify insurance and documentation in computer using account case notes.
- Explain Excelsia Injury Care paperwork to patients and ensure they understand, witnessing patient signatures.
- Maintain the office in a neat and orderly manner.
- Scan and upload paperwork to the EHR, if applicable.
- Other duties as assigned.
Who You Are
- High school diploma or GED equivalent.
- 6 months or more of medical experience in an administrative physician office setting.
- Previous computer skills, including data entry, Word, Outlook, and related software.
- Ability to handle multiple tasks and responsibilities simultaneously.
- Basic telephone and computer skills.
- Tact and skill in patient management.
- Excellent communication and organizational skills.
- Basic understanding of medical office procedures.
- Ability to effectively interact with doctors, patients, and co‑workers.
- Ability to triage patients and take basic vitals (blood pressure, pulse, and respiration).
Physical and Mental Requirements: sitting, standing, walking, reaching above shoulder length, working with the body bent over at waist, working in a kneeling position, climbing stairs, climbing ladders, working with arms extended at shoulder length, and lifting a maximum of 20 lbs.
