The Patient Coordinator is typically the initial contact a patient has with CIS.

Essential Duties:
- Manage all phases of the patient encounter by properly entering and/or verifying patient demographic and insurance information in Source Rad. Demonstrate courtesy and respect towards all patients and visitors before, during, and after the registration process is complete.
- Verify all written orders against scheduled procedures and obtain patient signatures on required forms. Contact referring physician offices to obtain orders if not available at the time of service.
- Scan physician orders, insurance cards, driver’s license, release of medical information form, and HIPAA privacy form into VI, making them part of the patient’s permanent record.
- Collect all payments, co-pays, and deductibles prior to services being rendered. Contact Patient Relations for payment arrangements if needed.
- Properly schedule and register walk-in or add-on patients in SourceRad. Record notes regarding patient arrival times, order status, and insurance information.
- Demonstrate knowledge of various payment types, verify benefit eligibilities, and ensure authorization numbers and claim forms are obtained before procedures.
- Check fax machine routinely for pending orders, file them appropriately, or attach to registration if the exam is on the same day.
- Coordinate with radiologists and all modalities regarding scheduling and registration of patient exams. Notify technologists when patients are ready for testing.
- Record changes (date, status code) for canceled/rescheduled appointments, and mail no-show/cancellation notices to referring physicians.
- Maintain knowledge of insurance procedures, including plan requirements, and ensure all necessary authorizations are obtained before exams.
- Update patient information in the system as needed (address, phone, insurance, etc.).
- Take initiative in learning all job functions and assist co-workers when possible.
- Perform medical records requests as needed.
Performance Requirements:
- Answer phones, balance figures, input data, maintain files, logs, patient charts, research information, and schedule appointments.
- Operate office equipment such as adding machines, calculators, fax, computer, and photocopier.
- Excellent verbal and written communication skills.
- Maintain a professional and courteous demeanor.
- Bi-lingual skills are a plus.
Education:
- High school diploma or equivalent.
Experience & License:
- Experience preferred but not required.
Physical Demands:
- Mostly sedentary work with moderate physical effort (lifting/carrying up to 25 lbs).
- Occasional standing, walking, reaching, stooping, bending, kneeling, crouching.
