Job summary

Well Balanced Body in California is seeking a patient coordinator to guide patients through their healing journey and support clinicians with clinical tasks. You will prepare treatment rooms, take vitals, and help ensure every visitor feels welcome and cared for.

You’ll contribute to patient retention by guiding new patients through consultations, care plans, and elevations, while using EHR and scheduling tools to maintain accurate records and smooth workflows.

Qualifications

• Medical Assistant certification or equivalent experience.
• Strong interpersonal skills: warm, professional, empathetic.
• Sales confidence with ability to guide patients to beneficial services.
• Ability to support doctors and patients, delivering high-quality care.
• Proficient with EHR systems and learning new software quickly.

Responsibilities

• Room patients and prepare treatment spaces before visits.
• Take vitals, posture photos, and assist with examinations.
• Prepare patients for therapies (e.g., light therapy, kinesiology taping).
• Assist providers with clinical needs and document in the EHR.
• Meet and exceed key performance indicators for the role.
• Provide complimentary consultations and guide next steps for new patients.
• Welcome patients and guide them through each visit step.
• Manage care checkpoints and reinforce provider recommendations.
• Ensure smooth patient flow and document progress accurately.
• Encourage re-bookings and plan adherence to support healing.

About the Role

As a patient coordinator, you are the patient’s guide through their healing journey. You’ll assist providers with clinical tasks, prepare and support patients during treatments, and ensure every person who walks through our doors feels welcome, cared for, and guided toward better health. You’ll also play a key role in patient retention and growth, introducing wellness “elevations” that enhance results and keep patients engaged in their care.

Qualifications

• Medical Assistant certification or equivalent experience required.
• Strong interpersonal skills — warm, professional, and empathetic.
• Sales confidence — comfortable guiding patients toward services that benefit them.
• Possesses strong assistant skills with a natural ability to support both doctors and patients, ensuring that every aspect of care is delivered to the highest standard.
• Highly computer savvy — able to learn new systems quickly & flow through EHR with ease
• Organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.
• Strong communication and interpersonal skills
• Passion for holistic, integrative wellness

Responsibitilies

Clinical & Treatment Support

• Room patients, clean and prepare treatment rooms before each visit.
• Take vitals, posture pictures, and support with examinations.
• Prepare patients for therapies such as light therapy and kinesiology taping.
• Assist providers with clinical needs and accurate documentation in the EHR.
• Meet & exceed Key Performance Indicators for the role

Patient Experience & Journey Management

• Provide Complimentary Consultations and guide the patient on their next steps as a new patient of our facility
• Welcome patients warmly and guide them through each step of their visit.
• Manage care checkpoints (progress evaluations, care plan reviews, milestones).
• Provide education and reinforce provider recommendations to improve compliance.
• Ensure a seamless, positive patient flow throughout the wellness center.
• Confidently offer and explain elevations to their care(additional therapies, supplements, or services that enhance results).
• Encourage re-bookings, follow-ups, and care plan adherence to optimize healing.
• Monitor patient satisfaction, address concerns, and ensure a five-star experience.
• Use EHR (jane app), scheduling, and communication platforms with accuracy and efficiency.
• Capture posture images, progress data, and treatment notes digitally.
• Assist with patient communication, including reminders, follow-ups, and reactivations.
• Collaborate with other team members to ensure care is connected across disciplines
• Maintain accurate session notes and uphold professional standards
• Contribute to creating a supportive, healing-centered environment
