Job summary

ForMotion Clinic is seeking a Patient Care Specialist to ensure a positive patient experience and smooth clinic operations. You will greet and register patients, collect documents, and support clinical staff with documentation and EMR tasks.

The role requires 1–2 years of medical office experience, comfort with EMR systems, and strong communication skills to interact with patients and healthcare providers. On-site position with competitive benefits and opportunities for growth.

Qualifications

  • Experience in healthcare industry preferred.

Responsibilities

  • Answer phones, direct inquiries, or triage via email to clinical staff.
  • Schedule appointments and verify patient demographics, insurance and referrals in EMR.
  • Maintain complete patient records in EMR per company policies.
  • Request and attach physician documentation to patient records before delivery and claims.
  • Verify insurance benefits and collect patient payments as needed.
  • Keep a clean, safe environment and follow infection control procedures.
  • Provide administrative support and promote paperless processes to improve efficiency.
  • Assist marketing efforts to build relationships with local referral sources.
  • Maintain professional relationships with patients, referral sources and staff.

About The Role

The Patient Care Specialist facilitates excellent patient experience and supports clinic operations for the assigned prosthetics and/or orthotics medical practice. Primary responsibilities include greeting and registering patients, compiling complete chart documentation, and supporting clinical and technical staff.

What You’ll Do
  • Answers the telephone and either responds to inquiry, directs caller to appropriate personnel, or initiates a triage email for response by clinical personnel.
  • Schedules appointments, verifies and updates patient demographics, referral source and insurance information in the Electronic Medical Record (EMR). Obtains copies of insurance cards, drivers' licenses and other documentation from referral sources and scans relevant items into the EMR.
  • Maintains complete patient records in the EMR per company policies.
  • Initiates documentation requests from physicians and other healthcare providers and ensures information is included as part of the patient's medical record prior to product delivery and claim submission.
  • Verifies patient insurance benefits, relays information on relevant payment and billing/collection policies and collects patient responsibility payments.
  • Maintains a clean, orderly and safe environment for patients and visitors. Follows infection control/safety procedures by adhering to applicable guidelines. Takes patient height, weight and reviews relevant medical history with patient. Prepares treatment rooms and patient care areas.
  • Provides administrative support to the practice as needed. Strives for a paperless work environment and full-utilization of technology‑based processes to drive operational efficiencies.
  • Assists in marketing efforts to build relationships with local referral sources.
  • Maintains professional relationships with patients, referral sources, clinical and non-clinical employees.
  • Maintains product and administrative technical knowledge by actively participating in ongoing training and development courses.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demand

The employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach/pull with hands and arms, bend and squat.

Who You Are
  • High school diploma or GED equivalent is required.
  • 1-2 years of medical office experience preferred using EMR systems or equivalent skill set.
  • Experience working in the healthcare industry preferred.
