Job summary

AEG Vision is seeking a Patient Care Coordinator to manage front desk operations, patient flow, and coordination across the care team. The role emphasizes proactive communication, schedule optimization, and accurate EMR data entry to ensure high-quality patient experiences.

The ideal candidate will greet patients, handle inquiries, verify insurance, and support billing and documentation while maintaining confidentiality in a fast-paced environment. Full-time, on-site at our Providence location.

Qualifications

• High school diploma or equivalent required.
• Strong computer literacy and ability to learn practice management systems (EMR).
• Excellent organizational skills with attention to detail and ability to manage multiple priorities.
• Strong verbal and written communication focusing on patient-centered service.
• Strong interpersonal skills and ability to work collaboratively across teams.

Responsibilities

• Greet patients, customers, and vendors; primary point of contact for patient interactions.
• Answer calls, respond to inquiries, and manage emails professionally and timely.
• Schedule patient appointments and support provider schedule optimization.
• Execute appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and patient demographics; enter data into EMR.
• Explain coverage, benefits, and patient financial responsibilities clearly.
• Prepare patient charts and documentation ahead of visits for smooth flow.
• Record charges, co-pays, and payments in EMR; monitor balances and billing.
• Run reports to ensure charges are billed and up to date.
• Monitor daily patient flow and provider schedules; adjust as needed.
• Communicate wait times and next steps to maintain patient satisfaction.
• Coordinate with clinical and optical teams for smooth transitions.
• Support retention through recalls and annual/medically necessary visits.
• Maintain a clean, organized front-office environment.
• Performs other duties as assigned by Practice Manager/Optometrist.
