McCall Dental Care is seeking a Patient Care & Scheduling Coordinator to guide patients from the initial phone call through checkout and ongoing care, ensuring a welcoming, informed, and well cared-for experience while maintaining an efficient schedule.

You will serve as a key connection between patients, front office, scheduling, and clinical teams, handling front desk tasks, recall management, and treatment coordination in a modern dental practice.

About the Role

The Patient Care & Scheduling Coordinator will take ownership of the patient and scheduling journey, helping ensure patients feel welcomed, informed, and well cared for while maintaining an efficient and productive schedule.

You will serve as an important connection between our patients, front office, scheduling, and clinical teams.

Key Responsibilities

Patient Experience & Front Desk

• Answer phones and respond to patient appointment requests
• Greet patients and provide a warm, welcoming experience
• Check patients in and assist with checkout
• Present and review new‑patient paperwork and HIPAA information
• Review and update patient medical history
• Communicate pertinent patient information during clinical handoffs
• Coordinate a smooth transition between the front office and clinical team
• Respond to office emails and appointment requests
• Maintain a clean, organized, and professional front office
• Collect payments at checkout as needed

Scheduling & Patient Retention

• Maintain an efficient and productive schedule
• Manage broken/cancelled appointment and quick‑fill opportunities
• Help ensure patients remain scheduled for recommended recall visits
• Contact patients for reactivation and follow‑up
• Maintain recall and confirmation systems
• Monitor and fill openings in the recall schedule
• Manage broken or cancelled recall appointments
• Participate in morning huddles and provide relevant schedule and recall updates

Treatment Coordination

• Follow up with patients who have unscheduled, broken, or cancelled treatment
• Maintain and work treatment follow‑up lists
• Review treatment‑related questions with the clinical team
• Coordinate future appointments
• Call prescriptions to pharmacies as directed
• Create specialist referrals and receive specialist correspondence
• Coordinate patient records, images, and other information
• Monitor saliva test results, upload results into patient charts, and notify the doctor as appropriate
