Job Summary

The Patient Access Representative I is responsible for the entire scope of the registration process for patients seen at St. Luke's University Health Network, in outpatient and/or Emergency Department locations. This includes identifying patients, transcribing orders, completing registration screens, entering diagnosis and provider information, verifying insurances, point of service cash collections, work queues, etc. The role requires excellent customer service skills and adherence to PCRAFT values. The representative communicates with SLPG practices, clinical/diagnostic departments, and revenue cycle departments to ensure a positive patient experience, accurate claim submission, and payment for services. Occasional travel between campuses or regional locations may be required, with cross-training in all departments at the campus or within the region.

Job Duties and Responsibilities
  1. Identify and validate patients in the hospital information system, maintaining the integrity of electronic medical records. Report any potential identity theft situations.
  2. Maintain knowledge of network policies on Patient Identification, including procedures like Merge, Chart Corrections, and Patient Look-Up.
  3. Handle patient registration, including demographics, contact information, diagnostic orders, provider details, insurance verification, eligibility, and point of service collections. Address registration errors, contacting providers or reviewing medical charts as needed.
  4. Cross-train in all areas of the location or region, including outpatient and Emergency Department areas at campuses.
  5. Greet and direct patients and visitors, providing courteous service and monitoring visitor policies.
  6. Answer calls and provide information about the facility and services.
  7. Promote the use of MyChart and patient self-service capabilities to enhance patient engagement.
  8. Assist with Welcome Kiosk and On My Way technology, monitoring patient arrivals and journey.
  9. Coordinate with SLPG practice or the Network Prior Authorization Department to obtain necessary insurance referrals and pre-authorizations.
  10. Obtain provider identifiers (Medical license Number, NPI, UPIN) for outpatient services to ensure proper routing and billing.
  11. Stay informed about current insurance and government regulations, providing estimates to self-pay patients and notifying out-of-network patients of options prior to service.
  12. Verify insurance/self-pay status through online eligibility checks or direct contact with payers.
  13. Manage point of service cash collections, including credit card processing, cash handling, and deposit preparation.
  14. Transcribe outpatient diagnostic testing orders accurately, verify all required information, and ensure tests are performed as scheduled.
  15. Verify patient preparation instructions for clinical procedures.
  16. Maintain knowledge of policies related to Patient Access and administrative procedures.
  17. Complete required competencies and trainings as assigned.
  18. Register vendors and clergy, providing necessary information.
  19. Address minor patient or visitor issues promptly and escalate significant concerns to leadership or security.
  20. Complete government forms, including Medicare notices and signatures on inpatient units.
  21. Collect, analyze, and scan clinical documentation twice daily.
Physical and Sensory Requirements

Sitting/standing up to 8 hours daily, frequent use of hands for data entry, walking, and ability to push up to 250 pounds in a wheelchair. Occasionally lift or carry up to 15 pounds. Normal hearing and vision required.

Minimum Qualifications

Education: High school diploma or equivalent required. Healthcare-related certificates or degrees preferred.

Training and Experience

Excellent customer service and interpersonal skills required. Proficiency in computer use, typing, and insurance knowledge preferred. Medical terminology and healthcare experience advantageous. Familiarity with Epic system preferred.

Hours

Per diem, as needed, including early mornings, evenings, weekends, and holidays, based on operational needs.
