Job summary

HCA Healthcare is seeking a Patient Referral Specialist to manage physician, hospital, and outpatient referrals and coordinate patient scheduling and insurance authorizations.

The role involves EMR entry, coordination with offices and hospitals, and ensuring timely, accurate referrals with clear communication to patients and families. Experience in referral coordination and insurance processes is required.

Qualifications

• High School Diploma or GED is required.
• One year of experience in referral coordination is required.
• Experience with insurance authorizations and payor guidelines is preferred.

Responsibilities

• Collaborate with diagnostic, surgical, physician offices and hospitals to ensure timely, accurate scheduling of appointments and tests.
• Provide complete patient information including demographics and medical details for safety and care quality.
• Determine insurance eligibility and obtain necessary authorizations for visits.
• Initiate EMR entries including demographics and physician referrals; obtain medical records as needed.
• Build rapport with offices, hospital staff, and managed care representatives.
• Use EMR or designated programs to track referrals and status.
• Collect accurate physician orders for appointments, tests, and procedures.
• Communicate appointment details and prep instructions to patients and families while protecting privacy.
• Ensure follow-up appointments are scheduled and discussed with the patient.
• Document appointment times and statuses in the medical record; close referrals.
• Submit outgoing referrals same day, ideally with patient present.
• Provide weekly referral volume and status reports to practice leadership.
