Job summary

Norwalk Hospital Association is seeking a part-time Registration/Patient Access Clerk to support scheduling through check-in. The role involves collecting demographics, insurance data, and ensuring accurate patient identification, with weekend and holiday coverage as needed.

Job description

Overview

Part‑time: 24 hours per week, varying shifts between 7:00 am and 7:00 pm. Includes every other weekend and holidays as needed.

Summary

Facilitates patient flow through the system from scheduling through registration check‑in so that patients have a “one touch” registration/scheduling experience. Responsible for obtaining demographic and financial information to ensure accurate patient identification and secure appropriate payment sources. Performs registration functions, insurance eligibility verification, patient liability collection, scheduling, and admitting duties. Provides estimates for services when appropriate. Receives and processes patient financial liability payments. Working hours may include weekends, evenings, overnights, and holidays.

Responsibilities
  • Greet patients, physicians, staff, co‑workers, and guests promptly and professionally. Check patients into the system and provide direction based on appointment location, financial clearance, and counseling status.
  • Acknowledge and assist patients with special needs and respect confidentiality.
  • Respond to telephone calls according to established customer service standards and provide requested information to callers.
  • Contribute to reduction of abandoned call rate, length of calls, and average speed answered when assigned to scheduling.
  • Perform accurate search/selection of patients within the hospital system using the Patient Identification procedure to maintain the integrity of the Electronic Master Patient Index (EMPI).
  • Accurately establish and schedule appointments for services from patients directly or physician offices following the designated protocols of the scheduling systems and clinical EMRs.
  • Initiate contact with patients to obtain additional information or confirm scheduled appointments.
  • Perform registration functions in the system and enter accurate and complete demographic and financial information to aid in securing payment for services rendered.
  • Perform insurance eligibility verification and execute payer requirements as needed.
  • Provide estimates for services when appropriate, communicate and actively solicit patient liability.
  • Enter testing orders in the appropriate system when necessary and understand coding, procedural protocols, and the charge description master.
  • Obtain signatures for all required organization, state, and federal consents and notifications.
  • Remain compliant with current Department Policies and Procedures; fulfill all compliance responsibilities related to the position including HIPAA, EMTALA, and Patient Bill of Rights.
  • Perform other duties as assigned.
Qualifications

Education: High‑school diploma or equivalent required; associate degree with 6 months job‑related experience preferred. Minimum of 1 year preferred in a related role.

Knowledge, skills, and abilities: Basic proficiency in MS Word and MS Excel; customer service and organizational skills. Desired: National Association of Healthcare Access Management (NAHAM) certification within one year of hire.

Working Conditions

Manual: Significant manual skills and finger dexterity required. Occupational: Some occupational risk. Physical effort: Medium to heavy effort, may exert up to 35 lb. Physical environment: Some exposure to dirt, odors, noise, human waste, etc.
