Summary:

Boulder Medical Center (BMC) is seekingcustomer service–oriented candidatesto join our collaborative Patient Access team in Urgent Care as our Lead Patient Access Associate. This role is ideal for individuals who are friendly, organized, and passionate about creating a positive first impression for patients. This position works Monday - Friday, full time 40 hours a week.

The Patient Access Associate Lead performs a variety of clerical and reception duties for the Urgent Care patient care area according to practice, routine or established protocols. This position oversees the daily operations of their department, ensuring efficient workflows, exceptional patient care, and compliance with clinical standards. Additionally, this role serves as a liaison between staff, providers, and patients in addition to performing primary assigned job duties.

Job Duties:

  • Check patients into the Urgent Care, evaluating patient needs to determine appointment type.Updates insurance information and collects co-pays from patients. Provides receipts to patients when requested.
  • In addition to phones and scheduling, the Patient Access Associate Lead will identify other needs of the department includes but is not limited to working recall plans per the protocol, printing daily schedules if the clinical team or providers request this, works daily reports, maintains a neat, clean work area and patient lobby, orders reception supplies, updates provider on-call calendars in Outlook, etc. Departmental duties vary based on department.
  • Recognizes when to involve, in the appropriate manner, the Patient Access Supervisor and/or Manager, Business Office, Provider, Practice Manager, Patient Advocate, I.T., etc. for assistance with a patient, per department protocol.
  • Informs patients of schedule delays greater than 15 minutes. Maintains an open line of communication with nurses and providers regarding delays in schedule.
  • Informs the Patient Advocate or Supervisor when a potential problem is communicated by the patient regarding provider-patient relationship or regarding patient concern with care rendered by the provider.
  • Oversee Daily Operations: Directs the day-to-day operations of the department, ensuring smooth functioning in collaboration with providers and the Practice Manger.
  • Staffing and Scheduling: Ensures optimal staffing levels and manages personnel schedules. Communicates schedule changes promptly to ensure effective operation of the practice, with appropriate adjustments to meet workflow needs.
  • Workflow and Guidelines: Participates actively in creating or revising guidelines for prioritizing and performing work activities. Regularly assesses the effectiveness of these guidelines within the practice.
Experience and Skills
  • Must use good judgment, professionalism and discretion when screening telephone calls, answering inquires and relaying appropriate information.
  • Ability to work under pressure and maintain phone etiquette using tact and diplomacy.
  • Must have excellent customer service and communication skills.
  • Strong computer and data entry skills.
  • Must possess strong grammar and spelling ability as well as the ability to read, write and understand the English language.
  • Neat, well-groomed appearance and courteous manner.
  • Knowledge of medical terminology and HIPAA compliance, preferred.

Education Requirements:

  • High school diploma or equivalent
  • Associates Degree or some college coursework in Business or Healthcare Administration, preferred.

Experience:

  • One (1) year of previous work experience involving public contact, preferably with heavy phone experience.
  • Previous experience with patient scheduling in a hospital or clinic setting, highly desired.
  • Bi-lingual ability (Spanish), a plus.

The starting hourly pay range for this position is commensurate with experience:

  • $18.50 - $23.12/hour
