Job summary

Utilitra seeks a Parts Coordinator I in Edwardsville, IL to manage basic inventory, process orders, and maintain availability of vehicle and equipment parts. This is a full-time, non-exempt role reporting to the Fleet Maintenance Coordinator, with a Monday–Friday schedule and flexible hours.

You will order, receive, invoice, deliver parts, and keep stocks organized, including oils in the Oil room, while upholding Utilitra safety standards and cross-training for future growth.

Qualifications

• High school diploma or GED required.
• 1 year of relevant work experience, preferably fleet or equipment parts.
• Strong organizational skills, attention to detail, and good communication.
• Proficient with Excel, Word, and Outlook.
• Able to pass a criminal background check and drug screening.

Responsibilities

• Order, receive, and invoice parts.
• Deliver parts and materials as needed.
• Maintain and organize inventory of parts and oils.
• Track inventory and replenish parts as needed.
• Ensure safety policies are followed and equipment safe.
• Cross-train in Fleet operations to fill in when needed.
• Communicate with Parts Coordinators, employees, and managers.

Job Title: Parts Coordinator I

Work Schedule: M-F (flexible hours)

Compensation

$20.00-24.00 per hour

This pay range encompasses multiple levels of the role. Career level and compensation depends on applicants credentials.

Overview:

The Parts Coordinator I is responsible for managing basic inventory, processing orders, and ensuring the availability and organization of necessary components for vehicle and equipment repairs.

Supervisory Responsibilities:

This role has no direct reports.

Duties/Responsibilities:

• Order, receive, and invoice parts.
• Deliver parts and materials as needed.
• Maintain accurate inventory and stock levels of parts, including petroleum, oil, and lubricants in the Oil room.
• Maintain inventory of on-hand stocked parts.
• Comply, enforce, and support Utilitra safety philosophy, safety training, safety manual, and OSHA.
  • Ensure all assigned personnel use/wear all appropriate personal protective equipment and tools.
  • Foster an environment where safety is expected and correct unsafe behavior immediately and consistently.
  • Diligently monitor safety in all situations and proactively work to prevent accidents and injuries at all times.
  • Stop work that is being performed in an unsafe manner.
  • Take corrective/disciplinary action for repetitive safety violations.
  • Reinforce safety rules and the importance of everyone going home safely in meetings, toolbox talks, JSAs, and other opportunities.
• Maintain and organize parts for all types of equipment, fleet vehicles, etc.
• Assist in tracking parts inventories and order replenishments as needed.
• Track inventory of materials and consumables and order replenishment as needed.
• Keep work areas neat, clean, and organized.
• Communicate routinely with other Parts Coordinators, employees, and managers to ensure smooth operation within the department.
• Other duties as assigned or prudent.
• Cross-train in all facets of the Fleet, preparing to fill in for anyone absent and to grow in responsibility and scope over time.

The person in this role will uphold the culture of Utilitra, including relationship building with customers and general behavior on Utilitra or client premises or at Utilitra-sponsored events.

Requirements/Qualifications:

• High school diploma or GED required.
• One (1) year of relevant work experience, preferably with fleet or equipment parts.
• Appropriate critical thinking skills to work in an unsupervised environment and demonstrate sound judgment.
• Reliable and timely attendance is an essential function of this role.
• Strong organizational skills, communication, and attention to detail
• Computer proficiency, particularly with Excel, Word, and Outlook
• Must be able to pass a criminal background check and drug screening.

Physical Requirements:

• Must be able to routinely lift 50-75 pounds or greater weights with assistance and tools.
• Must be able to bend, reach, squat, stoop, and reach with hands and arms.
• Must be able to differentiate between colors and textures.

Travel Requirements:

Minimal; primarily local for supply runs and training.
