POSITION DESCRIPTION
The Partnership Operations Manager (Ops Manager) will be a key driver of operational excellence within the University Partnerships (UP) team. The position will develop and implement efficient operational processes and systems supporting the entire partnership lifecycle across both Channel and Direct Transfer Products. This includes supporting the logistical coordination of strategic partner meetings (scheduling, preparing materials, data presentations, etc.), ensuring a smooth and effective new partner onboarding experience, and overseeing the timely and accurate distribution of partner communications. Collaborating closely with the Verto Enrollment team, the position will play a vital role in the planning and execution of Open House events, ensuring seamless alignment with the University Partnerships team's strategic goals, operational standards, and partner expectations.
In the area of technical operational knowledge and data management, the Ops Manager will maintain the accuracy and integrity of critical partner data across all relevant systems, proactively identifying and resolving any inconsistencies. Responsibilities will include maintaining and improving partner-facing resources, such as user guides and announcements on designated platforms. This role will manage the secure and accurate uploading of partner data share files into Salesforce, contributing directly to the department's data-driven decision-making capabilities and reporting accuracy. The Ops Manager will lead technical scoping for Partner Portal, Partner Application, and other Salesforce related enhancements supporting the priorities and goals of the UP team.
The Partnership Operations Manager will report to the Senior Director of Operations.
KEY RESPONSIBILITIES
Operations Support and Data Management
- Partner Engagement Operations: Ops Manager will coordinate partner-facing meetings (in-person and virtual) and customize presentation materials in collaboration with the Verto Marketing department and Account Managers across Channel and Direct Transfer teams, utilizing Salesforce data and other partner-specific information (e.g., previous year's outcomes by partner program).
- Partner Portal Operations Management: Responsible for building and maintaining reports and dashboards shared with partners, QA'ing data presented to partners on a programmatic level to ensure accurate reporting at the student level. Ensure partner portal is up-to-date (announcements, FAQs etc), and provide general operational support to the UP Team related to supporting partners' data-related requests. Maintain Partner Portal user guides for both staff and Partners.
- Internal Reporting: Responsible for building and maintaining reports and dashboards to support partner management and post-Verto planning.
- Partner Data Share: Responsible for working with the Technology Team to ensure accurate upload of prospective student data provided by partners into Salesforce and communicating data uploads with key cross-functional stakeholders.
- New Partner Onboarding: Proactively prepare necessary documentation, Verto and partner-specific data, and any other logistical or project management needs.
- Partner Offboarding: Oversee of partner offboarding tasks to ensure timely and accurate completion.
- Partner Hubs: Maintenance of partner-facing hubs to reflect relevant systems updates and announcements throughout the cycle as needed.
- Technical Scoping: Lead technical scoping and coordination of Partner Portal and Salesforce enhancements, system updates, and ongoing optimizations to support partner operations, partnering with cross-functional stakeholders as applicable.
- Miscellaneous Operational Projects: Including but not limited to originating internal and external presentation decks, creation of year-over-year comparison datasets using various data from internal and external sources, development and execution of partner-facing communications and other specialized mailings (e.g., partner newsletters, operational communications, partner gifts).
Event Management
- Open House Events: Responsible for ensuring all presentations meet the UP team expectations, cross-functional stakeholders are adequately prepared for the event, ensuring partner attendance is confirmed. Communicate with partners on attendance, expectations, timelines and deliverables, including post-program sharing of outcomes, and attendance with partners.
- Other Events and Presentations: Additional support for events and presentations as needed throughout the cycle to support the Channel and Direct Transfer partnerships.
JOB QUALIFICATIONS
- Ability to work remotely full time.
- Must be based in the US, and work on a time zone 1 hour +/- those in the continental US. (Example: GMT -8 through GMT -3).
- Expected to work some nights and weekends (approx 2 times a month).
- Bachelor's degree from an accredited college or university, preferably in Business Administration, Marketing, Operations, Analytics, Communications, or a related field.
- 5-7 years of professional work experience in some combination of higher education, partnerships, operations, business development, or account management-related roles.
- Proficiency in productivity and CRM tools (e.g., Salesforce, Slate), including Google Workspace and Microsoft Office Suite, project management software (e.g., Asana)
- Intermediate knowledge of Salesforce, and data reporting tools.
- Excellent administrative and organizational skills, including experience identifying and resolving administrative and day-to-day problems, prioritizing, and time management.
- Ability to deliver high-end customer service when interfacing with clients.
- Excellent verbal and written communication skills; the ability to provide verbal and written information, with clear instructions as to the processes.
- Strong event and project management skills.
- Ability to analytically review complex data; identify points of misalignment.
