Student Records & Transcript Specialist (Part-Time)
HOURS: Part-Time (20 Hours per Week)
REPORTS TO: Executive Director of Student Support Services
Position Summary
The Student Records & Transcript Specialist is responsible for ensuring the seamless transfer, evaluation, and finalization of academic records for students transitioning into, out of, or within district programs. This role primarily supports in-district schools and out-of-district placements, including alternative educational programs, specialized placements, Unified School District 1 (USD1), Unified School District 2 (USD2), and juvenile detention facilities. The Specialist conducts thorough academic audits, processes transcript requests, and uploads official documentation into PowerSchool and state databases (such as CT-SEDS) to ensure full compliance with district policies, data security standards, and State of Connecticut requirements.
Key Responsibilities & Scope of Services:
- Transcript Auditing & Evaluation
- Conduct routine, systematic transcript audits (evaluating up to 15 transcript audits per week).
- Audit, interpret, and convert incoming coursework and credits from out-of-district placements, juvenile justice facilities, and alternative programs into the district’s grading and course code system.
- Review student record history to verify course completion, calculate credit conversions, and ensure alignment with Connecticut high school graduation standards.
- Record Entry & CT-SEDS System Maintenance
- Execute accurate grade entry and credit verifications in the PowerSchool Student Information System.
- Upload progress reports, report cards, finalized transcripts, and other official academic documents into CT-SEDS.
- Finalize academic records for returning students to prevent enrollment delays and ensure proper grade placement.
- Out-of-District & Juvenile Placement Support
- Serve as the primary administrative point of contact for sending and responding to transcript and record requests with external districts, facility educational directors, and placement coordinators.
- Facilitate consultations and record exchanges with in-district and out-of-district school staff.
- Review case files, consult with school-based staff, and attend team meetings as necessary regarding student academic standing.
- Compliance & Data Privacy
- Maintain strict adherence to student record privacy, FERPA regulations, Connecticut state laws (including Conn. Gen. Stat. §§ 10-234aa et seq.), and district data security standards when handling confidential student data.
- Ensure all services rendered align with local board policies and state reporting requirements.
Qualifications & Competencies
- Certifications & Experience: Bachelor's degree in Education or a related field required; Counseling or Special Education Teaching certification preferred. Demonstrated experience supporting middle/high school academic record compliance and course-code mapping.
- Technical Expertise: Advanced proficiency with Student Information Systems (specifically PowerSchool) and state educational platforms (specifically CT-SEDS). District-provided secure computer hardware and VPN access will be utilized for confidential record processing.
- Core Skills: Exceptional attention to detail, strong background in credit auditing, expertise in state/federal compliance guidelines, and the ability to handle sensitive juvenile justice and special education records with total discretion.
