Lone Star College is seeking a part-time PT Staff Assistant II to perform standard and some advanced administrative duties. Responsibilities include greeting and assisting students, faculty and visitors, handling routine inquiries, and maintaining departmental records and databases.

You will support budgeting tasks, travel/expense processing, and procurement while working in a team-focused, service-oriented environment.

Qualifications

Job Description
PURPOSE AND SCOPE:

The PT Staff Assistant II performs standard and some advancedadministrative duties. Duties include receiving and logginginformation, making copies, preparing correspondence and basicdocuments, answering routine questions and inquiries, maintainingdatabases and tracking data. May provide departmental support bycoordinating office activities and meetings. May provide directsupport to staff at varying levels.

ESSENTIAL JOB FUNCTIONS:
  1. Operate a variety of office equipment, such as a personalcomputer, printer, photocopier, facsimile, scanner, orcalculator
  2. Provide information & assistance with routine andnon-routine task and resolves problems from a multiple ofindividuals/faculty and customers/students. Assist students,faculty, staff and visitors by handling their requests andproviding routine information. Provide excellent customer servicesupport
  3. Responsible for procurement, budget management, reconcilingaccounts while communicating with internal and external vendors.Monitor expenses charged against department accounts and track onbudget spreadsheets. Reconcile ProCard and T& E card expenses asthey post. Maintain budget report for purchases expensed,encumbered, and the remaining balance. Create all travel andexpense reports for department staff. Responsible for requisitionsand purchase orders. Responsible for ordering business cards fordivision staff
  4. Provide relevant technical support for students (withcomputers, laptops, phones, printers, copiers, and scanners)
  5. Manage inventory of assets and supplies, sourcing for suppliers(vendors) and submitting invoices
  6. Participate in developing new programs, maintainingdepartmental records, student files and other documents
  7. Create procedures for a variety of office duties to betterstreamline office functions
  8. Recruit, train, and supervise student workers
  9. Oversee Suite appearance through facilities department whenneeded
  10. Assist with Information Sessions, making sure that there is asign in sheet, certificates, signs being posted
  11. Submit marketing requests and work requests and take careofgeneral maintenance requests for the division
  12. Order office and cashiering supplies to support dailyoperations
  13. Generate reports that help others track, evaluate, and completetasks. The requests may come from or be assigned by manager, aninstructor, or counselor in the division. These items may includebut are not limited to syllabus and vita checks, adjunct leavehours per instructors, important dates to e-mail to instructorslike Official day and W day, rosters with telephone number, andacademic advising rosters, etc.
  14. Responsible for other reasonable, related duties asassigned
KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficiency with common office software (i.e. Microsoft Word,Excel, and PowerPoint)

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably todo the work. However, there may be some walking; standing; bending;carrying of light items, such as papers, books, or small parts; ordriving an automobile. No special physical demands are required toperform the work.

WORK SCHEDULE AND CONDITIONS:
  • Equipment used includes, PC workstation running on a LAN in aMicrosoft Windows environment, calculator, phone and other generaloffice equipment
  • Interface with internal and external contacts as needed tocarry out the functions of the position
  • Work is performed in a climate-controlled office with minimalexposure to safety hazards
REQUIRED QUALIFICATIONS:
  • High school diploma or GED
Salary

Hourly Pay Rate is $15.92
