We are seeking an organized, self-sufficient, and tech-savvy Operations Assistant to manage day-to-day administration, content logistics, and coaching workflows for a high-growth creator and executive coaching business.
In this seat, you will take ownership of front-line email triage, client scheduling, speaking outreach, and multi-platform content distribution. Operating with high agency and high precision, you will turn asynchronous video briefs (e.g., Loom instructions) into completed operational workflows without needing micro-training. Designed for an autonomous execution specialist, this role provides operational leverage—ensuring speaking opportunities are secured, coaching logistics run seamlessly, and content is published accurately on schedule.
1. Email & Inbox Triage
Inbox Management: Monitor, organize, and triage daily incoming correspondence across client, partner, vendor, and audience channels.
Customer Service & Inquiries: Respond promptly and professionally to coaching inquiries, client support requests, and general administrative follow-ups.
2. Speaking & Partnership Outreach
Opportunity Sourcing: Research, identify, and submit applications for relevant industry events, podcast appearances, and keynote speaking engagements.
Logistics Coordination: Manage end-to-end scheduling, speaker briefs, technical setups, and administrative details for confirmed external speaking opportunities.
3. Content Logistics & Social Media Distribution
Cross-Platform Scheduling: Coordinate, queue, and publish scheduled content across primary channels (YouTube, LinkedIn, X/Twitter, and newsletter platforms).
Asset Management: Organize digital media assets, show notes, visual graphics, and distribution files to maintain a consistent publishing cadence.
4. Administrative & Coaching Operations
Calendar Governance: Manage scheduling, booking links, and calendar logistics for client strategy calls, executive coaching sessions, and partner meetings.
Async Execution: Independently interpret Loom/video briefs, digest context, and execute multi-step operational tasks with minimal oversight.
High Agency & Problem Solving: Exceptional ability to receive asynchronous video instructions (Loom) and turn them into completed outcomes without needing step-by-step hand-holding.
Detail Orientation & Accuracy: High precision in written communications, tracking project details, and error-free calendar management.
Communication Mastery: Fluent written and spoken English, comfortable engaging in direct client support and external written outreach.
Tech Stack Literacy: Comfortable navigating modern digital ecosystems, including Google Workspace, scheduling tools (Calendly), social media schedulers, and CRM/task platforms.
Schedule Alignment: Consistent availability to work ~3–4 hours daily during core US Eastern hours (early morning EST alignment preferred).
Prior experience supporting digital creators, executive coaching programs, online courses, or thought leaders.
Basic familiarity or background with technology, software engineering, AI/ML concepts, or social media growth tactics.
Technical or data-driven skills that can add value to operational tracking and analytics.
Inbox & Triage Velocity: Maintaining a clear, organized inbox and responding to customer service/coaching inquiries within target turnaround times.
Outreach Execution: Consistently identifying and submitting applications for high-fit podcasts and speaking engagements.
Content Publishing Reliability: Zero missed publishing schedules or asset errors across social media platforms.
Autonomous Task Completion: Successfully executing async video briefs (Loom) independently and cleanly on the first pass.
