Job summary

The Norton Simon Museum in Pasadena, CA, is seeking an Education and Public Programs Coordinator (Part-Time) to support day-to-day operations in the Education and Public Programs Department.

Reporting to the Director, you will coordinate reservations for tours and programs, manage calendars, and assist with program logistics, contracts, and attendance reporting. A bachelor’s degree is preferred and a background in museums is advantageous.

Qualifications

• At least one year of experience in program coordination, scheduling or related areas.
• Strong organizational and communication skills with attention to detail.
• Proficiency with Microsoft Office and database/ticketing tools.
• Bachelor’s degree or equivalent preferred.
• Experience in a museum, nonprofit or public-facing program environment preferred.
• Foreign language skills are desirable.

Responsibilities

• Coordinate reservations and logistics for school tours, group visits, public tours and other programs.
• Communicate with teachers, group organizers, Museum educators and staff regarding schedules and accessibility needs.
• Greet scheduled groups and relay attendance, accessibility needs and visit updates.
• Maintain calendars, scheduling systems and program records.
• Schedule educators for tours and programs and manage availability and substitutions.
• Support logistics for lectures, classes, workshops and other events.
• Assist with contracts, invoices, payments and attendance reporting.
• Stay informed about gallery changes that affect programs and support occasional evenings or weekends.
