Job summary

Vivo Infusion is seeking a Medical Administrative Assistant (Clinical Service Specialist) in Wilton, CT. You will manage front-end operations, scheduling, and insurance verifications to ensure smooth clinical workflow in a fast-paced infusion center.

The role requires healthcare administration experience, strong communication, and HIPAA compliance, with opportunities to travel to other local Vivo clinics as needed. This position is part-time and non-exempt.

Qualifications

• High School graduate required.
• 2 years of healthcare administrative experience required.
• Medical Assistant Certification or Medical Office experience preferred.
• 1 year of insurance authorizations, benefits verifications, and billing preferred.
• Working knowledge of medical terminology required.
• Active CPR/BLS prior to starting work required.

Responsibilities

• Manages front-end operations of the infusion center: calls, patient greeting, payments, deliveries, and mail.
• Reviews cancellations, reschedules treatments, and notifies staff; calls to remind patients of appointments.
• Receives invoices, verifies accuracy, routes for payment authorization, and forwards to accounts payable.
• Schedules patients for follow-up infusions with navigator team.
• Collaborates with referring providers to obtain and file medical records per HIPAA.
• Maintains records, generates reports, and supports inventory management.
