Human Resources & Payroll Coordinator (Part-Time)
Location:
Hybrid/Remote but must be ok to train onsite in San Marco area
Schedule:
Part-Time, 20-24 hours per week (Monday, Tuesday, Wednesday )
The ideal candidate will have experience with payroll systems, employee onboarding, HR administration, and employment compliance. This individual should be comfortable working independently, exercising sound judgment, and helping leadership navigate routine HR and employment-related questions.
Key Responsibilities
Payroll Administration
- Manage and coordinate payroll processes utilizing Paychex.
- Maintain and administer employee PTO accruals and balances within Paychex.
- Collect, track, and process employee timesheets.
- Coordinate and maintain payroll-related documentation.
- Review and process per diem requests and employee reimbursements.
- Assist with payroll audits and ensure accurate employee records.
Human Resources Support
- Administer employee onboarding and new hire paperwork.
- Coordinate background screenings and pre-employment requirements.
- Complete E-Verify submissions and employment eligibility verification.
- Set up new employees within Paychex and related systems.
- Assist with preparing and distributing offer letters and other employment documents.
- Maintain employee personnel files and HR records.
- Track and manage employee PTO requests and balances.
- Serve as a resource for basic HR compliance and employee relations questions.
Compliance & Administrative Support
- Assist leadership in ensuring compliance with federal, state, and employment regulations.
- Provide guidance regarding policies impacting salaried and hourly employees.
- Research and verify employer tax identification information when needed.
- Support implementation and maintenance of HR procedures and best practices.
- Recommend process improvements and solutions for HR and payroll functions.
Qualifications Required
- Some experience in payroll, human resources, or HR administration.
- Experience using Paychex or a similar payroll/HRIS platform.
- Knowledge of payroll processes, PTO administration, and employee record management.
- Understanding of employment laws and HR compliance requirements for both exempt and non-exempt employees.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information professionally.
- Strong problem-solving skills and sound judgment.
Preferred
- SHRM-CP, SHRM-SCP, PHR, or related HR certification.
- Experience supporting small businesses or organizations without a dedicated HR department.
- Experience in the construction industry or related field.
- Familiarity with multi-state employment practices and payroll regulations.
