Delta Epsilon of Delta Gamma I in Stockton, CA seeks a House Director to oversee all house operations, maintenance, and safety for collegians and staff. The role coordinates with the House Corporation Board, manages budgets, purchases supplies, and ensures contract compliance and timely maintenance.

The Director will provide monthly schedules, track hours, and stay within approved budgets while complying with university and housing policies.

Responsibilities

• Ensures a safe and productive environment for collegians and staff.
• Responds appropriately during all emergency situations by contacting appropriate parties.
• Creates a strategy for the long-term care and upkeep of the facility for the House Corporation Board.
• Communicates house maintenance issues to the House Corporation Board and coordinates routine maintenance in a timely manner.
• Provides a schedule at the start of each month to the House Corporation Board of office hours and house presence.
• Requests approval when needing to exceed 15 hours in a given week, with detailed justification.
• Stays within budget for ad hoc expenses; reconciles receipts and submits payments.
• Purchases kitchen, cleaning and other supplies while maintaining inventory.
• Makes weekly or bi-weekly trips to purchase continental breakfast and snacks within budget.
• Coordinates with the cleaning company to ensure contract standards are met and times align with residents.
• Manages preferred service providers to resolve issues within budget.
• Remains with all visitors at all times including service providers.
• Provides a detailed weekly timesheet to account for hours spent on tasks.
• Keeps the House Corporation informed of inspections by insurance adjusters, fire dept, government agencies, or others concerned with maintenance and safety.
• Assists with required fire drills and inspections; identifies any damage to the House.
• Meets regularly with the Chapter Advisor and attends relevant meetings with Chapter members/boards.
• Must reside in the Chapter House each night the residents are in residence.
• Adheres to University, House Corporation Board, Office of Housing and Chapter policies and rules.

Description

The House Director is responsible for the overall operations of the House; including but not limited to the day-to-day maintenance, cleanliness, food service and safety of the House. The House Director consults with the House Corporation and with members of the House Corporation Board (HCB) for guidance and assistance in executing the duties as needed.

Essential Functions

• Ensures a safe and productive environment for collegians and staff.
• Responds appropriately during all emergency situations by contacting appropriate parties.
• Creates a strategy for the long-term care and upkeep of the facility for the House Corporation Board.
• Communicates house maintenance issues to the House Corporation Board and coordinates all routine maintenance issues in a timely manner. Manages all minor repairs within agreed amount in a timely manner. Notifies House Corporation Board of major repairs that exceed agreed amount with estimates that need to be done. Reports immediately to the House Corporation Board all hazards and damages that require insurance claims.
• Provides a schedule at the start of each month to the House Corporation Board (to be shared with the chapter) of set office hours per day and times she will be working and/or at the house during the month.
• Requests approval from the House Corporation Board when she needs to exceed 15 hours in a given week and explains in detail the reason for extra hours required that week.
• Stays within the given budget for ad hoc expenses; reconciles receipts and purchase orders; reviews and submits for payment through appropriate party.
• Purchases kitchen, cleaning and other necessary supplies while maintaining inventory.
• Makes weekly or at minimum bi-weekly trips to purchase continental breakfast and snack supplies within the budget.
• Coordinates with the cleaning company to ensure they are working during times that are best for the chapter members and that they are performing the cleaning to the standard detailed in their contract.
• Manages multiple preferred service providers to resolve issues while staying within budget.
• Remains with all visitors at all times including service providers.
• Provides a detailed weekly time sheet to the House Corporation Board accounting for the 15 hours per week spent on different tasks.
• Keeps the House Corporation informed of any inspection by insurance adjusters, fire department, government agencies, or others concerned with the maintenance, security, and safety of the House.
• Assists the Director of House Management with the required fire drills and other required inspections; specifically seeking out any damage to the House.
• Meets and communicates regularly any unusual trends, activities and/or problems with the Chapter to the Chapter Advisor (ATC).
• Meets regularly with the House Manager and attends any meetings with Chapter members and/or boards as necessary.
• Must reside in the Chapter House each night the residents are in residence.
• Adheres to University, House Corporation Board, Office of Housing and Chapter policies and rules.
